The Event Operations Manager will be responsible for operational aspects of Arc Network's conferences, tradeshows and awards programs. They will coordinate all event logistics including venue sourcing; contract negotiation; developing menus and reviewing BEOs to enhance event experience; audio visual sourcing and management; room block management; transportation coordination; special events creation and execution; and financial reporting and reconciliation. The Event Operations Manager will interact with both internal and external clients and must have highly polished written and verbal communication skills, as well as impeccable organizational skills. This is a remote role with regular travel onsite to events. Onsite, you will serve as the operational lead or a key member of the ops team depending on event scale, ensuring every functional area runs smoothly from setup through teardown. The Event Operations Manager is responsible for the following key areas across all assigned events: Venue sourcing & contract negotiation: identifies and secures venues, negotiates contracts, submits BEOs, and manages load-in access and facility coordination. Food & beverage: develops menus, reviews BEOs to enhance the event experience, manages guarantees, dietary accommodations, and onsite setup walkthroughs. Audio visual sourcing & management: sources and manages AV vendors, oversees run of show, coordinates rehearsals, and approves onsite change orders.
Room block management:
manages hotel room block contracts, monitors pickup pace, coordinates rooming lists, and reconciles master accounts post-event.
Transportation coordination:
manages all ground transportation including VIP/speaker airport transfers, hotel shuttles, and offsite event logistics. Special events creation & execution: conceptualizes and executes special events within the program, managing vendors and logistics end to end.
Sponsor deliverable management:
manages all sponsor deliverables before, during, and after each event, serving as the primary point of contact for clients onsite and in advance. Financial reporting & reconciliation: responsible for accurate and timely budgeting, tracking all operational expenses, processing vendor invoices, and completing post-event reconciliation. Vendor & resource coordination: coordinates internal and external resources including venues, A/V vendors, and materials suppliers, maintaining contracts and certificates of insurance. Day-to-day priorities shift depending on where events fall on the calendar, but your work will typically span these areas: Developing and adhering to event plans and timelines, including internal and external deadlines across multiple events simultaneously. Coordinating internal and external resources (venues, A/V vendors, suppliers) and running regular vendor calls as events approach. Acting as primary point of contact for clients, both onsite and in advance of events, to gather deliverables, secure approvals, and deliver a smooth client experience. Coordinating all onsite logistics, serving as the operational lead across setup, show days, and strike. Managing sponsor deliverables from pre-event through post-event closeout. Completing accurate and timely budget management and post-event reconciliation. Participating in post-event debriefs and documenting lessons learned for future planning cycles. 5-7 years of meeting planning/event operations experience with increasing levels of responsibility. Hands-on experience managing venues, AV vendors, F&B, room blocks, and transportation logistics. Experience managing trade shows, either personally or as part of a team. Experience managing sponsor deliverables and serving as a client-facing point of contact at events.
Strong financial acumen:
comfortable with budgeting, invoice processing, and post-event reconciliation. Excellent written and verbal communication skills, including writing and proofreading. This role is fully remote with required travel to event sites. You should expect to travel approximately 20-25% of the year. Events span conferences, tradeshows, and awards programs primarily held in major US cities. Physical demands of the job include Performing work in an indoor office environment Operating standard office equipment such as computers, printers, keyboards, monitors, phones, and other telecommunications or internet-enabled communications devices Possessing short-distance visual acuity to perform an activity such as entering, preparing, and/or analyzing data and figures, transcribing, viewing a computer terminal, and/or extensive reading. Lifting and carrying small to medium sized (0-20 lbs) parcels, packages and other items or traversing short distances. Traversing longer distances and/or standing for extended periods of time will be required during conferences and in-person events. Position Type and Expected Work Hours This is a regular, full-time role. Most work is typically conducted Monday - Friday, during Arc's core business hours, between 9:00 AM and 5:30 PM. Travel to events is required, and work times will be extended during the lead-up to and through the live events. The annual compensation range for this role is $65,000.00 - $80,000.00, less applicable taxes and deductions.
