Big Brothers Big Sisters of the Tennessee Valley is looking for an energetic, organized event professional to help us build and celebrate the community of mentors, youth, and supporters who make our mission possible. This is a flexible, part-time role with real potential to grow and an opportunity to do work that genuinely changes lives. Position Summary The Events Coordinator/Manager plans, coordinates, and hosts events that support BBBSTV's volunteer network, match programming, and annual fundraising efforts. This includes leading logistics for match events, spearheading Brews for Bigs (our newly launched quarterly community-building series at local coffee shops, breweries, and bars) and supporting our three signature fundraising events each year. The title and scope of this role will be determined based on the experience of the candidate hired, ranging from event coordination and logistics support to full event management, marketing, and donor engagement. This position ranges from 10 to 30 hours per week depending on organizational needs, the candidate's availability, and the specific duties assumed, with potential to grow into a full-time role within the next year based on funding and performance. Primary Responsibilities Match Events Plan, coordinate, and host match events for enrolled Bigs, Littles, and their families throughout the year. Manage event logistics including venue booking, supply purchasing, volunteer staffing, and day-of coordination. Partner with program staff to align events with match support goals and ensure age-appropriate, engaging, well-attended experiences. Brews for Bigs Lead planning and execution of quarterly Brews for Bigs events at local coffee shops, breweries, and bars. Brews for Bigs is a community-building series open to current Bigs, board members, staff, and alumni Bigs and Littles ages 21 and over — designed to strengthen connection and celebrate our volunteer community. Book venues, coordinate with venue partners, and purchase necessary materials. Drive marketing and recruitment outreach in partnership with other staff and independently to ensure strong attendance. Annual Fundraising Events Provide coordination and logistical support for BBBSTV's three annual fundraising events: Honoring Our Mentors (January), Tee It Up for Kids (May), and Wind Down (October). Manage RSVP and registration processes, guest lists, and day-of check-in for ticketed events. Ensure sponsors are properly recognized through signage, programs, and verbal acknowledgment at events. Depending on the candidate's experience and interest, responsibilities can extend to full event execution, marketing, and donor engagement. Event Operations & Reporting Track event expenses against established budgets; submit receipts and reconcile costs in a timely manner. Recruit and coordinate event-day volunteers to support smooth execution. Track attendance, engagement, and event outcomes; prepare post-event summaries for leadership and grant reporting purposes. Send post-event thank-you communications to attendees, volunteers, sponsors, and venue partners. Marketing & Communications List all events on the BBBSTV website and community calendars; knowledge of WordPress or a willingness to learn is required for website management. Create and distribute event promotions via social media; social media experience highly preferred. Graphic design experience preferred for creation of event flyers and digital content. Volunteer Appreciation Lead initiatives to demonstrate appreciation for BBBSTV's current volunteer mentors (Bigs), including delivering gifts, mailing thank-you letters, and other creative recognition efforts. Visit Bigs at their workplaces to strengthen relationships, show genuine appreciation, and naturally cultivate a culture of mentorship that encourages continued and expanded involvement. Evening and weekend availability is required — and for the right person, those are often the best parts of the job. We anticipate approximately two to four events per month, many held in the evening / weekend hours. Occasional local travel within Madison County is required for venue visits, workplace appreciation visits, and event hosting.
