Executive Director, Closter Nature CenterRole Overview The Executive Director (ED) serves as the primary administrator and operational lead for the Closter Nature Center (CNC). This is a part-time position currently structured as a hybrid role , requiring a balance of on-site presence for grounds/building management and remote administrative flexibility. The ED is responsible for the day-to-day management of the center, overseeing public outreach, coordinating diverse programming, managing a robust volunteer network, and leading fundraising initiatives. The ED works closely with the Board of Trustees, staff, and community partners to ensure the fulfillment of the CNC mission and the successful implementation of strategic projects. Key Responsibilities1.
General Operations & Administration Public Liaison:
Serve as the primary point of contact for the public via telephone and email; manage the opening/closing of the Nature Center building when on-site and provide in-person visitor services.
Board Relations:
Prepare monthly agendas and Executive Director Reports for the Board of Trustees; lead and facilitate board meetings.
Financial Administration:
Process incoming mail, manage cash/check deposits, and maintain close communication with the CNC Treasurer.
Infrastructure & Systems:
Act as the primary administrator for the CNC website, Google Workspace, and CommunityPass registration system.
Facility & Merchandise Management:
Maintain stocks of office/outreach supplies; manage merchandise inventory, sales tracking, and new product development.
On-Site Stewardship:
Conduct regular grounds patrols to ensure trail safety/cleanliness and identify/implement small-scale improvements (signage, trail extensions, etc.). 2.
Programming, Marketing & Outreach Program Coordination:
Design and schedule "one-off" programs and special events in collaboration with staff, volunteers, and external programmers.
Educational Support:
Support the Naturalist and Education Committee in scheduling recurring programs (After-School, Summer Program, School Break sessions).
Marketing Strategy:
Execute monthly marketing cycles, including the design and distribution of flyers, email blasts, and social media content (Facebook/Instagram) using Canva. Distribute materials to community contacts, event websites, and physical postings in the local area.
Digital Presence:
Maintain the online calendar and ensure all website program information is current and accurate. 3.
Volunteer Management Adult Volunteer Coordinator:
Recruit, onboard, and provide project guidance for adult volunteers and self-directed groups; maintain volunteer databases (agreements, hours, contacts).
Greeter Program:
Manage the recruitment, training, and scheduling of the Greeter Volunteer program.
Specialized Teams:
Assist coordination of the CNC Trail Crew and provide administrative support to the Education Director for youth volunteer management.
Recruitment:
Create and post volunteer recruitment announcements across all digital platforms. 4.
Fundraising & Development Event Leadership:
Act as the Project Lead for the annual Hike-a-Thon; manage committees, online platforms (RallyUp), sponsor acquisition, and event logistics.
Grant Management:
Identify funding opportunities using tools like Grantstation/Candid; author and submit Letters of Inquiry (LOI) and grant proposals for general operations and specific project funding (e.g., Forest Restoration, Pond Stabilization).
Strategic Giving:
Collaborate with the Fundraising Committee on initiatives like Giving Tuesday and local foundation outreach.
Funder Relations:
Maintain relationships with existing supporters (Veolia, Closter Borough) and cultivate new prospective donors. 5.
Project Management & Collaboration Execution:
Provide administrative oversight for ongoing improvement projects, including purchasing materials, requesting payments, and submitting spending reports to funders.
Contractor Relations:
Obtain quotes, hire, and schedule work for external contractors and consultants.
Strategic Partnerships:
Act as a liaison with organizational partners and consultants (e.g., Rutgers, NYNJ Trail Conference, NJ Invasive Strike Team) to ensure project efficiency.
Required Skills & Qualifications Communication:
Exceptional written and verbal communication skills for public outreach, board reporting, and grant writing.
Technical Proficiency:
High comfort level with Google Workspace, website administration (SquareSpace or similar), Canva, and registration/fundraising software (CommunityPass, RallyUp).
Organizational Leadership:
Ability to manage multiple projects simultaneously, coordinate diverse groups of volunteers, and work independently.
Community Engagement:
Experience in marketing, social media management, and event planning.
Physical Presence:
Ability to perform light physical tasks related to grounds maintenance and event setup. Internal Note for Search Committee This role requires a "utility player" who is comfortable shifting between administrative tasks (deposits, website updates) and public-facing leadership (leading board meetings, managing volunteers). Success in this role depends on the ability to balance the repetitive cycles of seasonal programming with the long-term pursuit of grant funding and capital improvements.
