Job Description

Part-Time Events & Catering Coordinator / Catering Captain Coastal Roots Hospitality is continuing to grow our Events & Catering brand and is looking for an experienced hospitality administrator, entry-level catering professional, or hospitality leader looking to grow within events and catering. This is a hybrid role that includes both office-based event coordination and occasional onsite event leadership. The right candidate will help support client communication, event contracts, BEO preparation, event packets, staffing communication, and onsite execution when assigned as a Catering Captain. This is a great opportunity for someone who wants to learn Events & Catering from both the administrative and operational sides while being part of the continued growth of Coastal Roots Hospitality. Job Summary The Events & Catering Coordinator / Catering Captain supports the planning, administration, coordination, and execution of private events, banquets, and offsite catering. In the office, this role assists with client communication, proposal and contract preparation, BEO updates, event packets, packing lists, scheduling communication, and general event coordination. When assigned to an event as a Catering Captain, this role acts as the onsite lead responsible for setup, service flow, staff direction, client communication, troubleshooting, and breakdown. The Catering Captain ensures the event is executed according to the BEO, company standards, and client expectations. This position reports to the Vice President of Operations and works closely with restaurant managers, chefs, catering staff, and corporate leadership. Key Duties & ResponsibilitiesEvent Coordination & Administration Assist with client communication, event confirmations, proposal updates, and contract/BEO preparation Help prepare event packets, timelines, signage, packing lists, and other event materials Review BEO details to ensure menus, timing, staffing, rentals, and client expectations are clearly documented Communicate event details with clients, banquet staff, kitchen teams, restaurant managers, and leadership Assist with follow-up on signed contracts, deposits, payments, and final event details Support staffing communication for upcoming events, including timing, location, uniforms, and event expectations Help maintain organized event files, notes, and updates within company systems Assist with last-minute event changes and ensure updates are communicated clearly to all necessary parties Catering Captain / Onsite Event Leadership Act as Catering Captain for assigned events when needed Lead onsite setup, service execution, breakdown, and event flow Serve as the onsite point of contact for the client, staff, kitchen, and management Direct part-time catering staff during assigned events, including task assignments and service expectations Confirm event setup matches the BEO, including food displays, beverage stations, rentals, equipment, timelines, and service areas Coordinate with the kitchen or catering team to ensure food is delivered, presented, and served correctly Troubleshoot event needs in real time while maintaining a professional and hospitality-focused presence Ensure staff follow service standards, uniform expectations, safety procedures, and company guidelines Assist with post-event breakdown, equipment return, event notes, and follow-up communication as needed Job Requirements High school diploma or equivalent required Hospitality, restaurant, banquet, catering, or event experience a must Leadership experience in hospitality is strongly encouraged Strong organizational skills and attention to detail Excellent written and verbal communication skills Ability to multitask and remain calm in a fast-paced environment Comfortable communicating with clients, managers, kitchen teams, and event staff Comfortable leading event teams when assigned as Catering Captain Professional appearance and demeanor Ability to work a flexible schedule based on event needs, including some evenings, weekends, and offsite events Basic computer and administrative skills required Experience with event software, scheduling platforms, POS systems, or catering systems is a plus Compensation This position has two separate hourly rates based on the work being performed: Administrative /
Office Coordination Rate:
DOE Catering Captain /
Onsite Event Lead Rate:
DOE, paid at a higher event leadership rate when assigned to act as Catering Captain The higher Catering Captain rate applies only when the employee is scheduled and working in the onsite event captain capacity. Office coordination, administrative work, planning support, and general event preparation are paid at the administrative rate.
