Special Event Manager Brain Injury Association of NYS Albany, NY Job Details Full-time $50,000 - $55,000 a year 3 hours ago Benefits Health insurance Dental insurance Paid time off Vision insurance Flexible schedule Life insurance Qualifications Vendor relationship building Organizing community events Sales Expense management Bachelor's degree Leadership Negotiation Full Job Description The Special Events Manager will be responsible for managing all events, campaigns, and outreach for the organization, including our March on for Brain Injury, Journey of Hope Gala, Meet & Greets, and Go Blue for Brain Injury. In addition, the Special Events Manager will oversee all aspects of event planning and management, including internal and third-party external events. A successful candidate will be extremely organized and be able to manage the logistics of multiple events simultaneously. Responsibilities for the Special Events Manager include meeting with donors and committee members to work out event details, plan with the Executive Director and staff to research, reserve and retain corporate sponsors, vendors as it relates to event locations, food, entertainment, and related/supporting event needs. The Special Events Manager also develops event proposals with revenue and expense projections and presents proposals to the Executive Director.
DUTIES AND RESPONSIBILITIES
  • Maintaining a working relationship with vendors and venues.
  • Understanding the complex needs of different events, and diverse donors.
  • Creation of committees for each event.
  • Identification and cultivation of honorees for each event to assist in reaching fiduciary goals.
  • Create Sponsorship Opportunities and research, secure and steward corporate donors.
  • Plan all event aspects, such as venue, seating, dining, and guest list.
  • Ability to communicate the need for support in event planning tasks to other staff members where necessary.
  • Strong knowledge of venues and vendor offerings, including costs and amenities.
  • Coordinating event entertainment, including music, performers, and guest speakers.
  • Plan and coordinate events to ensure expenses are within budget.
  • Work with the Director of Finance in the accurate and timely preparation of financial reports, projections, collections and invoicing related to events, campaigns, and outreach efforts.
  • Ensure all donors are properly acknowledged.
  • Negotiate and manage Third Party Agreements from outside entities.
  • Managing and overseeing events on the day of, including problem-solving, welcoming guests, directing event set-up, communicating with staff, organizing and directing vendors, and managing take-down.
  • Communicating with staff/PR Firm to create effective collateral materials, advertisements and social media plan for each event.
  • Calmly and effectively respond to unexpected scenarios.
  • Creating sales opportunities for future events.
  • Strong communication skills, and the ability to present event ideas and plans to the Executive Director and donors.
Pay:
$50,000.00 - $55,000.00 per year
