Job Description

POSITION DESCRIPTION
: Under the general direction of the assigned supervisor, the Student Employment and Events Coordinator provides centralized coordination for a campuswide student employment staffing pool and supports planning and execution of campus coverage and public events. This position manages a team of student employees deployed to meet needs across campus, including event support, management of Patriot Hall athletic facility, and routine support functions that serve staff, instruction, and students. The Coordinator serves as the lead point of contact for public events on campus and works closely with the Facilities team and other departments to ensure events are staffed, scheduled, and executed efficiently, safely, and in alignment with college procedures. The position also supports student employment communications, student job postings, and coordinates career readiness workshops.
ESSENTIAL DUTIES
: Coordinate and manage operations of the Patriot Hall athletic facility. Coordinate coverage of Patriot Hall, including sporting events, fitness-related programming, and public events, and maintain consistent procedures and event day checklists. Coordinate daily coverage and services of the Student Center, ensuring appropriate staffing levels, reliable front desk support, and consistent service delivery through trained student employees. Manage a centralized student employment staffing pool and assign student employees to campus needs based on requests and operational priorities. Recruit, hire, onboard, train, schedule, and supervise student employees supporting the campus. Serve as the lead point of contact for public events on campus and coordinate event inquiries, scheduling, and staffing in collaboration with internal partners. Coordinate planning, scheduling, and logistics for campus events, including set up and take down support, signage, tabling, guest support, and customer service coverage. Coordinate with the Facilities team on event logistics and building readiness, including access, room set up, equipment movement, custodial coordination, safety considerations, and post-event reset. Oversee student employees assigned to support staff, instructional, and student supplies, including basic distribution, deliveries, restocking, and inventory checks as assigned. Coordinate student support for vending machines and related operations, including basic checks, restocking coordination, and issue reporting consistent with college procedures and vendor requirements. Maintain a campuswide student job board and manage student job postings, application workflows, placements, and communications. Coordinate career readiness workshops and group supports, including resumes, cover letters, interview preparation, and job search strategies. Maintain schedules, records, and documentation related to student employment assignments, event coverage, and recurring support functions. Ensure compliance with institutional policies, safety procedures, and risk management practices related to events and facility use. Coordinate with Financial Aid on Work Study eligibility and placement priorities and track student hours and compliance requirements. Identify operational improvements and recommend enhancements to staffing processes, event execution practices, and service standards. Performs other duties of a similar nature or level, as assigned.
MINIMUM QUALIFICATIONS
Associate degree from an accredited institution. Experience coordinating events and staff coverage, including scheduling and logistics. Experience supervising, training, or leading student employees, staff, or comparable teams. Demonstrated ability to work effectively with students from diverse backgrounds in a customer-facing environment. Ability to work variable hours, including evenings and weekends, based on events and facility coverage needs. Demonstrated ability to learn and use digital tools to support daily work, track information, and maintain basic workflows.
PREFERRED QUALIFICATIONS
: Experience working in a gym, athletic facility, or college environment. Experience coordinating multi-department events or public-facing programs. Experience with student employment, Work Study, or work-based learning programs. Familiarity with facility scheduling, event management, or timekeeping systems. First Aid/CPR/AED certification or ability to obtain within a specified timeframe.
KNOWLEDGE / SKILLS / ABILITIES
: Positive, service-oriented attitude and demonstrated willingness to collaborate across teams. Knowledge of concepts, principles, and practices of coordinating events and activities, preferably in a college environment Ability to interface effectively with a diverse population of students, staff, faculty, and community members. Strong scheduling, coordination, and follow-through skills with the ability to manage multiple priorities and deadlines. Strong verbal and written communication skills. Ability to train, supervise, and coach student employees and maintain clear performance standards. Ability to establish procedures, checklists, and service standards for recurring support functions and event coverage. Ability to identify, troubleshoot, and resolve issues collaboratively and independently. Ability to work independently and proactively resolve operational challenges. Ability to utilize college systems and web based tools to post jobs, maintain schedules, and complete required documentation. Ability to exercise sound judgment, maintain appropriate confidentiality, and represent the college professionally in public facing settings.
WORKING CONDITIONS
: Work is performed in a variety of environments, including office settings, Patriot Hall, event spaces, classrooms, and outdoor venues. Frequent interruptions and competing priorities are expected. Regular interaction with students, staff, faculty, and the public. Requires flexibility to adjust schedule based on event and operational needs, including evenings and weekends.
PHYSICAL REQUIREMENTS
Must be able to walk frequently, including navigating stairs and large campus facilities. Must be able to lift and carry items up to 30 pounds. Must be able to work variable hours, including evenings and weekends. First Aid/CPR/AED certification required (or ability to obtain within a specified timeframe).
