Full Job Description PURPOSE:
The Events and Office Coordinator is a dual-role position responsible for supporting the planning and execution of Conservancy events while also helping maintain efficient day-to-day office operations. This role is approximately 80% event-focused and 20% administrative/office management. As part of a small but dynamic nonprofit team, this position is ideal for a highly organized, proactive individual who enjoys wearing multiple hats, balancing behind-the-scenes logistics with hands-on event execution, and contributing wherever needed to support the organization's mission. The ideal candidate has a genuine passion for parks, public green spaces, and creating meaningful opportunities that bring people together outdoors while strengthening the community. The Coordinator will play a key role in ensuring events run smoothly while supporting internal systems, vendor coordination, office organization, and the collaborative day-to-day operations that help the Conservancy thrive. EVENT COORDINATION
(80%): Planning & Pre-Event Coordination Create and manage ticketing pages (Eventbrite or similar) Build and update event listings on the Charleston Parks Conservancy website Submit and maintain listings across community calendars Draft and schedule attendee communications (pre- and post-event) Develop and distribute post-event surveys and track feedback Collect and manage vendor agreements, permits, and Certificates of Insurance (COIs) Support event logistics including rentals, timelines, layouts, and vendor communication Support sponsor deliverables and partner coordination as needed Support volunteer needs through recruitment and communication as needed Event Execution (On-Site) Assist with and execute setup, breakdown, and day-of logistics Assist with event rentals at the Conservancy's Rose Pavilion facility in Hampton Park Manage event materials including packing, transport, setup, and return Maintain event inventory including washing linens and organizing supplies OFFICE AND ADMINISTRATIVE MANAGEMENT
(20%): Maintain office organization, inventory, and supply management Handle incoming phone call, messages, etc, return general calls Serve as point of contact for office needs, vendors, and basic facility coordination Coordinate maintenance of office space and liaise with property management as needed Manage incoming mail, general inquiries, and shared inbox support as needed Coordinate staff meetings, schedules, and internal calendars as needed Coordinate board meetings and assist with preparation of materials for board or committee meetings Help liaise with external vendors supporting IT, insurance, and office systems Assist in maintaining consistency across operational vendors and services Accounts Receivable responsibilities including-processing incoming revenue including cash, checks and credit card payments Accounts Payable responsibilities including-processes bills, invoices and expense reports; manages outgoing payments; processes corporate credit account KNOWLEDGE, SKILLS, and ABILITIES
Strong organizational and project management skills, with the ability to manage multiple priorities and meet deadlines in a fast-paced environment Detail-oriented, proactive, and adaptable, with the ability to work independently and collaboratively Strong written, verbal, and interpersonal communication skills, with the ability to build professional relationships with vendors, partners, and stakeholders Commitment to accuracy, organization, confidentiality, and professional discretion Proficiency in Microsoft Office and Google Workspace; experience with Eventbrite, Salesforce, or similar platforms preferred TRAINING and EXPERIENCE
Bachelor's degree preferred 3-5 years of experience in event coordination, office administration, nonprofit operations, or a related field PHYSICAL REQUIREMENTS
Ability to work evenings and weekends as required by event schedule Ability to lift and transport event materials (up to 30 lbs) Comfortable working outdoors in various weather conditions Valid driver's license and reliable transportation OTHER DUTIES
