Job Description

Position Overview:
High Hill Resort is seeking a dynamic and highly organized individual to join our team as a Full-Time Event Coordinator. The successful candidate will play a pivotal role in planning, organizing, and executing a wide range of events, including, but not limited to, weddings, corporate retreats, and themed dinners. will ensure seamless and memorable experiences for our clients and attendees. The Event Coordinator will be responsible for overseeing all aspects of event planning, from conceptualization to execution, and will collaborate closely with cross-functional teams to achieve event objectives. He or she will also be trained by our Guest Services team to assist in our front office when needed.
Responsibilities:
Event Planning:
Collaborate with clients, vendors, and internal teams to conceptualize, plan, and execute events that align with client objectives and brand values.
Logistics Management:
Coordinate all logistical aspects of events, including transportation, audiovisual setup, equipment rental, and more.
Budget Oversight:
Manage event budgets, ensuring efficient allocation of resources and adherence to financial guidelines.
Vendor Relations:
Establish and maintain relationships with vendors, negotiate contracts, and manage vendor deliverables to ensure the highest quality services are provided.
Program Development:
Design event programs, including scheduling of sessions, workshops, entertainment, and other appropriate activities, to create a cohesive and engaging event experience.
On-Site Management:
Lead on-site event operations, overseeing setup, registration, guest services, and troubleshooting to ensure a seamless event execution.
Marketing and Promotion:
Collaborate with the marketing team to develop event promotion strategies, including social media campaigns, email marketing, and other outreach efforts.
Attendee Engagement:
Foster positive interactions and engagement with event attendees, addressing inquiries, gathering feedback, and ensuring a positive attendee experience.
Post-Event Evaluation:
Conduct post-event evaluations to assess the success of events, gather feedback, and identify areas for improvement in future events.
Team Collaboration:
Work closely with cross-functional teams, including marketing, design, sales, and management, to align event objectives with overall business goals.
Qualifications:
Education in Event Management, Hospitality, Marketing, or related field (or equivalent work experience) preferred. Proven experience in event coordination, preferably in a fast-paced environment. Strong project management skills, with the ability to manage multiple tasks and deadlines concurrently. Excellent communication skills, both written and verbal, with the ability to collaborate effectively with internal and external parties. Attention to detail and the ability to maintain high standards of accuracy and professionalism. Proficiency in event management software and tools for registration, planning, and communication. Creative thinking and problem-solving skills to address unexpected challenges that may arise during events. Strong negotiation and vendor management skills. Flexibility to work evenings, weekends, and travel as needed. A passion for creating memorable experiences and a genuine interest in the event industry.
