In this role, you will provide vital operational and administrative support throughout the entire lifecycle of an event—from initial concept planning to live execution and post-event wrap-up. The ideal candidate thrives in fast-paced environments, possesses excellent multi-tasking abilities, and is dedicated to delivering flawless guest experiences.
Key Responsibilities Logistical Support:
Assist in coordinating venue setup, layout arrangements, audio-visual testing, signage placement, and breakdown schedules.
Guest & Attendee Relations:
Manage guest lists, coordinate the registration and check-in desk, issue badges, and act as a primary point of contact for attendee inquiries during live events.
Vendor Coordination:
Liaise with external vendors, including caterers, decorators, audio-visual technicians, and security staff, ensuring timelines and deliverable requirements are met.
Administrative Management:
Maintain event schedules, track inventory supplies, organize contracts, and assist with preparing presentation decks or promotional materials.
On-Site Troubleshooting:
Address and resolve front-of-house and back-of-house operational challenges quickly and efficiently to ensure zero disruption to the event timeline.
Essential Qualifications & Experience Professional Background:
Prior experience in event planning, hospitality, public relations, or a high-touch customer service role is highly preferred.
Organizational Mastery:
Exceptional time-management and multi-tasking skills, with a proven track record of managing competing priorities under tight deadlines.
Communication Skills:
Excellent verbal and written articulation, with a warm, professional demeanor capable of engaging with corporate clients, vendors, and guests.
Problem-Solving Ability:
A calm, resourceful approach to handling unexpected logistical changes or guest escalations in high-pressure environments.
Physical & Scheduling Flexibility:
Ability to stand for long periods and assist with light setup tasks. Flexibility to work non-traditional hours, including early mornings, late evenings, and weekends, based on the event calendar.
