Ownership means taking responsibility for the end result, not just the task at hand. _______________________________________________________________________________________________ Job Overview We are looking for a highly organized and proactive Operations & Events Manager to support the day-to-day operations of our growing team. This role combines office management, vendor coordination, event planning, employee experience, and administrative support responsibilities across multiple office locations. Working closely with the executive team and Operations Director, this individual will serve as a key point of contact for operational coordination, technology and vendor management, event logistics, and office support. The ideal candidate is detail-oriented, resourceful, and adaptable, with strong follow-through, the ability to manage multiple priorities, and a willingness to take initiative in a fast-paced environment where no two days are the same. Key responsibilities include, but are not limited to: _______________________________________________________________________________________________ Operations, Office, & Vendor Management Coordinate day-to-day office and operational activities across multiple office locations. Manage relationships with office, facilities, technology, and operational vendors, including coordination of services, purchasing, invoicing, and payment processing for company-wide platforms and subscriptions. Coordinate office management initiatives including furniture procurement, office setup, signage, supplies, maintenance, inventory, and workplace organization. Support the setup and operational coordination of new office locations, including vendor onboarding, Google Business updates, signage, and related logistics. Coordinate company equipment and operational assets including IT equipment, office technology, furniture, and related inventory management. Assist with internal operational projects, workflow improvements, process coordination, and administrative support as needed. Provide backup front desk and general administrative support as needed. _______________________________________________________________________________________________ Events, Travel, & Employee Experience Coordinate planning and logistics for approximately 12 annual client appreciation events, including invitations, vendor communication, purchasing, scheduling, budgeting, and reimbursement tracking. Support fundraising initiatives, seasonal campaigns, internal company events, and annual holiday party planning. Coordinate event timelines, purchasing, payment submissions, reimbursement tracking, and operational follow-through for company initiatives and events. Coordinate internal and external gifting for employees, clients, advisors, and business partners. Arrange travel logistics and related administrative coordination for advisors, leadership, and company initiatives as needed. _______________________________________________________________________________________________ Technology & Platform Coordination Manage company-wide operational platforms, subscriptions, user access, and vendor coordination. Coordinate purchasing, setup, inventory tracking, and replacement of IT equipment, office technology, and furniture. Serve as a point of coordination between employees, vendors, and IT support providers to resolve operational and technology-related needs. Maintain organized records of operational assets, subscriptions, equipment inventory, and vendor agreements. Administer onboarding and offboarding logistics across operational systems, platforms, and office resources. _______________________________________________________________________________________________ Qualifications Bachelor's degree or 3-5+ years of relevant experience in business operations, office management, operations coordination, administrative management, or event coordination. Strong proficiency with Microsoft Office Suite (Excel, Outlook, Word, PowerPoint) and operational/business software platforms. Exceptional organizational, time management, and communication skills with strong attention to detail. Proven ability to manage multiple priorities and projects in a fast-paced, deadline-driven environment. Ability to work independently while coordinating effectively across teams, vendors, and leadership. Experience managing vendors, facilities, events, travel coordination, purchasing, or office operations preferred. Comfortable handling confidential information with professionalism and discretion. This role may occasionally require lifting and transporting office supplies, event materials, boxes, or equipment up to 25 pounds, as well as moving throughout office and event spaces as needed. _______________________________________________________________________________________________ Preferred Qualifications Prior experience in business operations, workplace operations, office management, event coordination, or administrative support within a professional services environment. Experience coordinating vendors, events, travel logistics, purchasing, and office operations across multiple locations. Familiarity with operational platforms, onboarding systems, and workflow/project management tools such as Salesforce, Asana, Box, Outlook, or similar systems. Experience supporting growing organizations with evolving operational needs is a plus. _______________________________________________________________________________________________ Work Arrangement This role is expected to work primarily from our Austin-area office, with flexibility for a hybrid arrangement to be determined based on business needs and team structure. _______________________________________________________________________________________________ Why Join Us?
