Job Description Addison Group is partnering with our client to identify a Meeting & Events Coordinator to support the successful planning and execution of a high volume of meetings, conferences, and special events throughout the year. This position will work closely with event leadership to coordinate logistics, manage event details, and help deliver exceptional experiences for attendees and stakeholders. The ideal candidate is highly organized, service-oriented, and capable of managing multiple priorities in a fast-paced environment. Previous experience supporting corporate, nonprofit, or association events is strongly preferred. Key Responsibilities Assist with the coordination and execution of a large portfolio of meetings and events of varying sizes and complexity. Support event planning activities including scheduling, venue coordination, attendee communications, and logistics management. Maintain event timelines, project plans, and tracking documents to ensure deadlines are met. Coordinate with vendors, venues, speakers, and internal stakeholders to facilitate successful event delivery. Manage registration processes, attendee records, and event-related documentation. Prepare event materials, agendas, signage, and other supporting resources as needed. Provide onsite event support, including setup, registration management, troubleshooting, and attendee assistance. Monitor event budgets and assist with invoice processing and expense tracking. Respond to event inquiries and provide a high level of customer service to participants and partners. Support post-event activities, including evaluations, reporting, and reconciliation of event details. Qualifications Bachelor's degree preferred or equivalent professional experience. 2+ years of experience coordinating meetings, conferences, or special events. Strong organizational skills with the ability to manage multiple projects simultaneously. Excellent written and verbal communication abilities. Demonstrated commitment to delivering outstanding customer service. Proficiency with Microsoft Office Suite and event management platforms. Ability to work independently while collaborating effectively with cross-functional teams. Strong attention to detail and problem-solving capabilities. Professional demeanor with the ability to interact confidently with executives, clients, vendors, and attendees. Flexibility to support occasional early morning, evening, or weekend events as needed.
