Job Description

GENERAL JOB EXPLANATION
Position manages all assigned duties related to wedding and social services. This includes all details regarding the sales, booking, and execution of all functions. Understands the demands and sense of urgency of being in the hospitality industry and able to provide guest with 5 star service. Must be able to stay organized, multi-task, communicate well, and be able to meet all deadlines.
EXAMPLES OF SPECIFIC JOB DUTIES
Handle all incoming wedding lead calls or emails with a sense of urgency. Handle all wedding room reservations for all upcoming weddings on property. Send quotes and information to all incoming wedding leads in a timely manner. Handle all wedding event contracts from contract negotiations to collecting the deposits for the event. Detail all wedding events with the booking party by providing a timeline for the event, a projected cost as well as coordinate any vendors for the event. Supply each department on property with detailed information for each event at weekly managers meeting. Input and distribute all banquet event orders to food and beverage department in a timely manner. On site for all wedding & social events to insure the event is run properly and available to handle any questions or situations that might arise. Review all wedding event bills and collect remaining balances in a timely manner for accounting and the client. Send weekly wedding sales call reports and department projected revenue reports to the executive committee. Attend weekly managers meetings to review all upcoming events and VIP stays that will be arriving for the next 14 days as well as banquet event meetings with the Restaurant Manager and the Executive Chef. Handles all check requests for upcoming social events and weddings and provides a copy to accounting and another copy for our records. Organize and file all wedding and social event files upon completion of each event. Contact all vendors for wedding and social events to send timelines for the event, find out their load in and strike times, provide directions and answer any questions they might have about the event. Handle all site visits and planning meetings for upcoming social events and assist with all wedding tastings, planning meetings and site visits as needed. Revise and update all wedding and social event print material to increase our departments revenue.
JOB REQUIREMENTS
Minimum age requirement: 21 years of age Minimum of 2-3 years experience Ability to lift and carry a minimum 50 lb. in an overhead position. Ability to push, pull, lift and do abundant physical movements throughout the work areas. Ability to read, write and communicate English very clearly Ability to perform basic mathematical and accounting functions Ability to be well organized, work neatly, and focus on details of the job.
EDUCATIONAL REQUIREMENTS
Bachelors or associate degree in event planning or hospitality-related field preferred. On-going seminars or certification for updating industry education as needed.
