Event Planner/Coordinator San Antonio, TX 78216 Part-time, Full-time Part-time, Full-time Job Summary We are seeking a dynamic and energetic Event Planner/Coordinator to bring memorable experiences to life! In this role, you will be the driving force behind the planning, organization, and execution of diverse events, ensuring every detail aligns with client expectations and organizational standards. Your passion for hospitality, exceptional organizational skills, and proactive approach will help create seamless, engaging events that leave lasting impressions. This paid position offers an exciting opportunity to showcase your creativity and coordination expertise in a fast-paced environment. Responsibilities Respond promptly to all event inquiries (phone, email, web, walk-in) and convert leads into booked events Conduct site tours, build customized proposals, and negotiate contracts within established pricing guidelines Coordinate every detail of confirmed events: menu selection, beverage packages, floor plans, AV needs, décor, staffing, and timelines Serve as the primary point of contact for clients from booking through event day Manage event calendar, deposits, final payments, and gratuity processing Partner with kitchen and bar leadership to ensure flawless execution and food/beverage quality Be on-site for events to oversee setup, run-of-show, and breakdown Build and maintain relationships with vendors (florists, DJs, photographers, rental companies, etc.) Develop and execute outreach strategy to attract corporate clients, wedding planners, and community partners Track event KPIs (lead-to-booking conversion, average event spend, repeat clients) and report weekly to ownership Support marketing efforts: photography of events, social media content, and promotional collateral Maintain accurate records in event management software (e.g., Tripleseat, Perfect Venue, or similar) Skills Strong negotiation skills with the ability to secure favorable terms from vendors and partners. Expertise in event marketing strategies to effectively promote events across multiple platforms. Proven experience in event planning and management within hospitality or related industries such as restaurants or hotels. Excellent customer service skills with a focus on guest satisfaction and hospitality excellence. Exceptional time management abilities to coordinate multiple tasks simultaneously under tight deadlines. Organizational skills that ensure detailed planning and flawless execution of complex events. Knowledge of budgeting processes along with experience in upselling additional services or amenities. Effective communication skills for liaising with clients, vendors, team members, and guests alike.
