Established in 1992, ChildSafe is a nonprofit organization created to combat child sexual abuse in our community. Serving as Bexar County's only Children's Advocacy Center (CAC), we provide a continuum of care, including crisis management, counseling, and support services, to child abuse survivors and their non-offending family members. The goals of the agency and its multidisciplinary partners include the following: a recorded forensic interview; ensuring the coordination of appropriate and thorough investigation and prosecution of sexual and physical abuse and neglect cases with public and private agencies; providing crisis intervention and ongoing counseling; offering public education and professional training; and advocating for the child and family during the investigative process.
Essential Functions:
The Events Manager leads ChildSafe's signature fundraising events, community engagement initiatives, and donor cultivation activities that generate critical support for the organization's mission. This role oversees all aspects of event strategy, planning, and execution, ensuring seamless logistics, strong vendor partnerships, and exceptional donor and community experiences. Through engaging, high-impact events, the Events Manager strengthens organizational visibility, deepens community relationships, and advances ChildSafe's development and mission goals.
Responsibilities:
Event Planning & Execution Plan, coordinate, and execute signature fundraising events, community awareness initiatives, and donor cultivation activities. Develop comprehensive event timelines, budgets, and production schedules to ensure successful delivery. Manage all event logistics, including venue selection, catering, audiovisual needs, décor, and day-of-event coordination. Oversee event setup, breakdown, and on-site management to ensure smooth and professional execution. Identify, cultivate, and secure event sponsorships from corporate partners and community stakeholders. Research and analyze corporate budgeting cycles and decision-making timelines to strategically time sponsorship solicitations are strategically timed to maximize funding success. Vendor Management Source, negotiate, and manage relationships with event venues, vendors, and service providers. Coordinate with internal staff, board members, sponsors, and community partners to align goals and expectations. Serve as primary point of contact for event-related inquiries and communications. Build and maintain strong, long-term relationships with corporate sponsors, community organizations, and key stakeholders. Volunteer & Staff Coordination Manage event volunteer teams to support event operations. Collaborate with Volunteer Coordinator to ensure adequate volunteer coverage and support for all events. Partner with program and development staff to integrate mission moments and fundraising components into events. Budget & Data Management Develop and manage event budgets, tracking expenses and revenue against financial goals. Maintain accurate event records in designated databases and CRM system. Prepare post-event reports detailing attendance, financial results, sponsorship performance, and impact metrics. Ensure compliance with documentation standards, grant requirements, and organizational policies. Marketing & Promotion Partner with communications and development teams to create event marketing strategies and materials. Utilize digital platforms, social media, and community networks to increase attendance and engagement. Develop and manage event registration systems, attendee communications, and post event follow-up. Professional Development & Collaboration Participate in regular supervision, team meetings, and cross-departmental initiatives. Stay current on best practices and trends in nonprofit fundraising, sponsorship development, and event management. Perform other duties as assigned to support ChildSafe's mission and organizational objectives. Education/Skills/Training Requirements Bachelor's degree in a related field preferred. 3-5 years' experience in event planning, nonprofit fundraising events, or hospitality management preferred. Strong project management, organizational, and time-management skills. Excellent written and verbal communication abilities. Ability to work independently and manage multiple priorities while keeping the Chief Development Officer informed. Proficiency with event management software, registration platforms, and CRM systems or willingness to learn. Professional demeanor with strong customer service and interpersonal skills. Flexible availability, including evenings and weekends as required for events. Must have a valid driver's license, acceptable driving record, and required vehicle insurance. Must pass criminal and child abuse registry background checks. Working Conditions/Physical Demands Combination of office-based and event-based work environments, including indoor and outdoor venues. Ability to sit, stand, and remain stationary for extended periods. Frequent movement throughout event and office spaces to access materials and equipment. Ability to lift, carry, and transport event supplies and materials weighing up to 30 pounds. Regular use of office and event equipment, including computers, phones, projectors, and audiovisual tools.
Hours/Shifts:
The Events Manager is a full-time, salary/exempt position. After hours and weekends for agency-related activities may be required. Shifts will be established within the following hours of operation: Monday•
Thursday:
8:00 am•8:00 pm
Friday:
8:00 am•4:00 pm
