What We're Looking For The Academic Events Coordinator plans, designs, and executes a broad portfolio of faculty-focused events, managing all logistical details from venue selection and catering to audiovisual setup and university policy compliance. A bachelor's degree and three years of relevant experience are required. Five years of relevant experience is preferred. A combination of education or experience will be considered in lieu of one another. Applicants must currently be authorized to work in the United States on a Full-Time basis. What You Will Do Plans, designs, and executes faculty-focused events, managing all logistical components including venue selection, decor, catering, coordination with facilities, audiovisual setup, and ensuring compliance with university policies and procedures Maintains event calendars in collaboration with academic leadership Coordinates with internal departments and external vendors Assists with agenda development Manages invitee lists and RSVP tracking to ensure effective communication and attendance Develops and manages event budgets, including cost estimation, tracking expenditures, processing payments, and ensuring alignment with university financial guidelines Provides administrative support for Vice Provost of Administration and Operations, Faculty Senate and Chair Leadership Initiative, including meeting coordination, documentation, and communication Oversees personalized and hospitality-related initiatives such as assembling gift bags, coordinating the Provost's Christmas cards and birthday lunches, and managing the card ministry Perform all other duties as assigned to support Baylor's mission Ability to comply with University policies Maintain regular and punctual attendance What You Can Expect As part of the Baylor family, eligible employees receive a comprehensive benefits package that includes medical, dental, and vision insurance, generous time off, tuition remission, and outstanding automatic retirement contributions.
