The ideal candidate provides comprehensive administrative and clerical support, including coordinating meetings and events, managing logistics, preparing materials and reports, and supporting executives with daily operations. They will also assist with planning and executing conferences and outreach activities, developing event materials, coordinating travel and audiovisual needs, and ensuring smooth delivery of both in-person and virtual engagements.
ESSENTIAL FUNCTIONS
Providing administrative and clerical support for clients and staff as tasked. Handling word processing, research, proofreading, editing, copying and binding, maintaining department/client files, expense reports, and coordinating events/meetings as needed. Supporting Executives with meetings, administrative tasks, clerical work, etc. Developing event staffing plans and afteraction reports and providing general logistical support. Developing and producing materials and products for trade show booths to be used at events, conferences, recruitment fairs, etc. Assisting in developing materials for meetings and conferences by creating materials and assembling briefing binders, speaker presentations, booth and exhibit materials, marketing collateral, outreach and communication plans. Supporting the planning and execution of events, to include general planning, agenda development, speaker identification, speaker preparation, and material development. Assisting with the logistical aspects of meetings, conferences, and special events including venue research and event analysis, preparing invitations and agendas, tracking RSVPs, and preparing travel arrangements. Preparing, reproducing and distributing conference materials. Researching information about possible room setup, audiovisual equipment, accessibility needs and services, and other onsite meeting needs. Assisting in arrangements for video conferences and webinars. Performing additional duties as assigned in support of evolving contract requirements and client needs. Understanding the organizational policies and procedures for accuracy of solutions and deliverables to the client. Demonstrating a commitment to quality and customer support.
REQUIRED EDUCATION AND TRAINING
High school diploma
MINIMUM EXPERIENCE AND SKILLS REQUIRED
One or more years of administration experience A proficiency in utilizing MS Office products Experience with Concur Experience with meeting support Must have the ability to obtain the client's suitability Proven familiarity with Artificial Intelligence (AI) concepts and responsible use of AIassisted tools Excellent written and verbal communication skills A highly motivated selfstarter Must be motivated and have excellent customer service skills
