Part-time Position Overview:
The Logistics Coordinator at Entwined Events plays a critical role in ensuring seamless execution of weddings, corporate gatherings, and social events. This position is responsible for planning, organizing, and overseeing all logistical aspects of event operations, including vendor coordination, transportation, equipment delivery, inventory management, and on-site setup/teardown. The ideal candidate is detail-oriented, proactive, and thrives in a fast-paced, client-focused environment.
Key Responsibilities:
Coordinate logistics for weddings, private parties, and corporate events across Entwined Events venues and off-site locations. Manage event timelines and schedules to ensure smooth setup, execution, and breakdown. Oversee delivery, setup, and removal of furniture, décor, catering equipment, and AV/lighting needs. Communicate and coordinate with vendors, clients, and internal staff to align expectations and logistics. Maintain accurate inventory of event equipment, linens, décor, and supplies; report shortages or maintenance needs. Ensure compliance with safety regulations, venue guidelines, and company policies. Supervise logistics staff, drivers, and setup crews to maintain efficiency and professionalism. Troubleshoot on-site issues quickly and effectively to minimize disruption. Provide post-event reporting on logistics, inventory, and operational successes/challenges.
Qualifications:
Physically able to assist with event setup and equipment handling (lifting up to 50 lbs). Prior experience in event logistics, event coordination, or operations (hospitality/venue experience preferred). Strong organizational and multitasking skills with attention to detail. Ability to work flexible hours, including evenings, weekends, and holidays, as required by event schedules. Excellent communication and problem-solving abilities. Proficiency with scheduling software, spreadsheets, and inventory management tools a plus. Valid driver's license and reliable transportation required.
