Job Description

Previous Hotel Experience Required Position Summary The Blackburn Inn and Conference Center, a property managed by Guests, Inc., a full service hotel management company since 1989, is seeking an Event Coordinator to join our team. About the Role We are looking for an energetic and driven Event Coordinator to join our team! In this role, you will work hand-in-hand with our sales team to convert incoming leads into booked events, guide clients through the planning process, and be present on-site to ensure every banquet and event runs flawlessly. This is a dynamic, client-facing position that blends sales, event planning, and hands-on execution — perfect for someone who loves variety and thrives in a people-first environment.
RESPONSIBILITIES
Sales & Client Development Respond to and engage incoming leads alongside the sales team, building rapport and converting inquiries into bookings Conduct outside sales calls to generate new business and maintain relationships with prospective clients Prepare and present professional event proposals tailored to each client's vision and budget Follow up with leads and clients throughout the sales cycle to ensure a seamless experience Event Planning & Coordination Draft, manage, and execute Banquet Event Orders (BEOs) with accuracy and attention to detail Serve as the primary point of contact for clients from booking through event completion Coordinate all event logistics including timelines, menus, room setups, vendor needs, and staffing requirements Communicate BEO details clearly to all internal departments to ensure flawless event execution Manage event budgets and ensure all services are delivered as contracted On-Site & Banquet Duties Be present and hands-on during banquets and events as needed, overseeing setup, service, and breakdown Serve as the on-site point of contact for clients during their event, ensuring satisfaction throughout Assist banquet staff as needed to maintain service standards and a positive guest experience Troubleshoot and resolve any issues that arise during events in a calm, professional manner General Collaborate closely with the sales team on strategies to grow event revenue Maintain organized and up-to-date records of leads, bookings, BEOs, and client communications Complete any additional tasks as assigned by the General Manager
QUALIFICATIONS
2+ years of experience in event coordination, banquet operations, hospitality sales, or a related field Familiarity with Banquet Event Orders (BEOs) and event planning processes strongly preferred Strong sales instincts with the ability to build client relationships and close bookings Excellent written and verbal communication skills Highly organized with the ability to manage multiple events and deadlines at once Comfortable working in a fast-paced, client-facing environment Willingness to work flexible hours including evenings and weekends as events require Proficiency in Microsoft Office Suite; experience with event or hospitality management software a plus Bachelor's degree in Hospitality, Event Management, Business, or a related field preferred (but not required)
