About the Position Responsible for professionally representing Stone Way Auto while executing the plan for each event, for developing and strengthening vendor relationships, and for maintaining the event space. The Ideal Candidate Is highly organized and detail-oriented Is proactive and able to problem solve independently Communicates clearly and professionally with guests, vendors, and staff Is comfortable leading, directing, and supporting teams during live events Loves hospitality, hosting, styling, and creating memorable experiences Can handle long event days with a positive, calm, solutions-focused attitude Notices the little details that elevate an event from good to exceptional Is willing to jump in wherever needed to support the team Essential Duties and Responsibilities Assist with event preparation at six weeks from event date: Understand contract terms / details / layout / timeline / players for each event Collect and vet COIs from client and vendors Complete checklist to confirm receipt of necessary documents and request outstanding Request, receive and test any event media (playlists, slideshows, videos, etc) Assist with ancillary planning details (parking permits, parking garage coordination, etc) Professionally represent Stone Way Auto during all onsite events: Attend any additional setup or tear-down timeframes to assist and supervise Arrive early to deactivate alarm and prepare the space (furniture, amenities, etc) Execute event plan coordinated by Sales & Marketing Manager Collaborate with client, vendors, and guests to ensure a fun and high-quality experience Collect photos and video during the event to provide to Marketing Observe events and notify Managing Director of any concerns regarding safety / damage Get to know vendors and develop relationships Assist with onsite systems (Sonos, projector, TVs, arcade, etc) Monitor restrooms and maintain adequate paper supplies Be the last to leave, ensuring that the space is locked, lights are off, alarm is set Provide a post-event debrief with any suggestions for space/policy improvements Before and after each event: Verify that the space is clean and that all restroom items are adequately stocked Carefully survey the entire space to identify, document and communicate any damage Launder linens, if used Coordinate professional cleaning and verify completeness of work performed Inventory all items onsite (checklist provided) Manage furniture in space as needed for each event: Set up and tear down furniture from onsite storage (folding tables, cocktail tables, mobile bars, curtains) Set up AV equipment according to each client's needs (training provided) Understand all onsite AV / security systems and competently troubleshoot any issues for clients: Projector / Sound bar Tower speakers / Microphone systems Sonos speaker system Mezzanine and Penthouse TVs (including casting from devices) Security systems (including alarm and door access systems) Develop and strengthen vendor relationships: Schedule and lead site tours for any new vendors Maintain vendor contact database and Dropbox folder Track vendor experiences/feedback and develop ideas for improvement as-needed Participate in decision-making regarding vendor partnership programs and policies Establish and fine-tune procedures to improve vendor efficiency and to mitigate damage Collaborate with Sales & Marketing Manager to plan and host industry events Attend team meetings / trainings onsite / networking events as-needed Identify industry networking opportunities Provide event space support and maintenance: Assist with management and scheduling of facility maintenance and repairs Water and care for plants Receive, sort and scan mail Load, run, and empty dishwasher as-needed Maintain site equipment, including: vacuum, ice machine, neon sign, etc Maintain adequate stock of kitchen, restroom and office supplies Facilitate arcade game repair and rotations as-needed Facilitate onsite safety measures: Test AED monthly, maintain documentation, and trouble-shoot as necessary Perform safety briefings with onsite vendors and planners before each event Develop documents/systems to communicate key safety points Act as onsite Incident Commander in the event of emergency Run and document monthly safety meetings with the internal team Maintain first aid kit supplies Work Schedule This position is full-time and each week will aim for 40 hours/week. Weekly schedule is developed based upon venue rentals; availability is required on evenings/weekends and hours may include holidays. Some work from home may be permitted (dependent on venue rentals and other onsite duties/needs). Workdays may be 10 hours or longer and may extend to 1am or later. Benefits & Compensation Salary non-exempt position: $65k-75k annually (based on experience and qualifications) Employer-paid health and vision insurance Access to Simple IRA plan for pre-tax contributions + 3% employer match when eligible 15 days PTO (for sick or vacation time) + 10 floating holidays (accrues monthly)
