Position Summary:
The event coordinator for Noble Catering & Events is an organized, detail-oriented, and customer-focused individual who will serve as a support role for our Sales & Events team in the planning and execution of catering events. This position provides both administrative and day-of-event support to help ensure seamless event operations and exceptional client experiences. Responsibilities include assisting with banquet event orders (BEOs), vendor coordination, and operational support for events as needed. This position is available in both full-time and part-time capacities, with flexible scheduling based on business needs, and must include availability on evenings and weekends.
Key Responsibilities:
Event Administration & Coordination Ability to create, review, edit, and finalize Banquet Event Orders (BEOs) within catering and event management software Help ensure all event details, timelines, guest counts, menus, rentals, and logistics are accurate and communicated clearly to internal teams Maintain organized and up-to-date event files, contracts, notes, and documentation Assist with tracking event changes, approvals, deposits, and final confirmations Support the coordination of event timelines and operational logistics leading up to each event Client & Vendor Communication Conduct client calls and follow-up communication regarding event details, timelines, and special requests Respond professionally and promptly to client, vendor, and internal team inquiries Confirm vendor orders, rental deliveries, staffing details, and event-related services Communicate updates and changes to vendors and internal departments in a timely manner Help ensure clients receive exceptional service throughout the planning process Sales & Events Team Support Provide administrative and operational support to the Sales & Events team throughout the event planning process Assist with gathering and organizing event information needed for successful execution Support the preparation of event materials, schedules, diagrams, and operational notes Collaborate closely with sales, culinary, warehouse, and operations teams to ensure alignment on event needs Help manage last-minute changes and shifting event priorities in a professional and solutions-focused manner Day-of-Event & Operational Support Serve as a flexible support role for the Sales, Events, and Operations teams during event setup, execution, and breakdown Step in to help fill operational gaps and support various departments as needed during high-volume or fast-paced events Help maintain a high level of organization, professionalism, and guest satisfaction during all events General Expectations Maintain professionalism, confidentiality, and strong attention to detail at all times Adapt to changing priorities and work effectively in a fast-paced hospitality environment Work collaboratively as part of a team while also handling responsibilities independently Assist with additional administrative or event-related duties as assigned No supervisory duties required of this position
Qualifications:
Previous hospitality, catering, event planning, or administrative experience preferred Strong organizational skills and attention to detail Excellent communication and customer service skills Ability to multitask and work in a fast-paced environment Comfortable using computer systems, scheduling software, and Microsoft Office/Google Workspace Experience with catering or event management software is a plus Ability to work independently while collaborating with multiple departments Professional appearance and positive attitude is required

Ability to sit, stand, and move throughout office and event spaces Ability to occasionally lift up to 25 pounds Ability to work in fast-paced event environments when needed
