This role is a key member of the event team, overseeing pre-event prepping, room refreshes during event and post-event reassembly of conference spaces. The Hilton Garden Inn Wausau is in the top 1% for overall guest experience of all 800+ Hilton Garden Inn hotels nationwide. Primary Responsibilities
  • Works alongside the Event Coordinator, serving as the point person for all event setup, audio visual needs and execution of event details.
  • Supervises conference set up employees, including hiring, training and evaluating performance.
  • Prepares a plan for the meeting space and ensures that the conference set up team correctly handles the moving, arranging and setting up of furniture and AV equipment.
  • Coordinates with internal F&B Manager to ensure timely setup, delivery, refresh and cleanup of event food and beverages.
  • Opens event space and conducts a final walk through before event to confirm all event and set up details are in place.
  • Consults with meeting planner upon arrival the day of the event to guide them to the event space, confirm key meeting details and conduct an AV test run.
  • Keeps meeting spaces fresh and clean throughout event.
  • Ensures that all event space is reassembled post-event and closed down appropriately at the end of each day.
  • Assists in billing/invoicing of all events in tandem with the Event Coordinator.
  • Maintains adequate stock of all essential items related to conference services (i.e. Conference Break Food & Beverage, Pens, Pads, AV Equipment etc.).
  • Adheres to safety standards while maintaining efficient work habits.
  • Keep all workplace information in strict confidence.
  • Perform other tasks as assigned. Qualifications
  • Minimum education level of a High School Diploma; some college preferred.
  • Minimum of two years of experience in event/banquet set up, event coordination or a related customer service supervisory position.
  • High proficiency in AV equipment, systems and terminology, including HDMI, VGA and USB.
  • Flexible schedule with availability that varies from week to week during daytime, evening and weekend hours according to the conference schedule.
  • Professional appearance and excellent customer service skills with the ability to interact effectively with meeting planners, attendees and hotel guests.
  • Ability to work independently and as a team member, collaborating as necessary to ensure the client needs are met.
  • Ability to lift 50 pounds, move furniture and climb stairs.
