DEFINITION
The Guest Services Associate I is responsible for customer service-related duties at Luxivair SBD, the Fixed Base Operator (FBO) at the San Bernardino International Airport. This role will provide aviation related services including assisting passengers, flight crews, pilots, and other customers.
SUPERVISION RECEIVED AND EXERCISED
Receives direct supervision from the Luxivair Guest Service Supervisor. Exercises no direct supervision over staff.
ESSENTIAL DUTIES
Provides a full range of customer service duties at FBO including answering multiple telephone lines, communicating with customers and keeping the facility in a professional state. Uses handheld radios and proper aviation verbiage to communicate with pilots and ground crews. Performs regular inspections of the hospitality bar to ensure it is well-stocked, clean, and organized. Greets flight crews and passengers on arrival and assists with bags and luggage, escorts passengers and flight crew to and from the aircraft. Coordinates international trash-pick up and collects regulated garbage. Assists with aviation fuel request, crew cars, hotel accommodations, catering, dry cleaning, ground transportation, supplies and other ground support items. Provides information to customers related to available services and amenities in the region. Updates ramp logs as required and maintains accurate records of activity. Processes invoices for fuel and services; contacts customers for past-due payments. Assists with daily reconciliation of sales and balance cash drawer. Prepares daily, weekly, and monthly reports to management. Safely operates motorized equipment including golf carts, rental cars and crew cars. Facilitates Ground Support Equipment (GSE) rentals and overnight fueling as needed. Operates a variety of office equipment including computer, fax, copiers, and other office machines to generate correspondence, reports, and statements. Facilitates coordination of meetings and other special events as needed. Establishes, maintains, and fosters positive and effective working relationships with those contacted in the course of work including the public, vendors, contractors, and agency staff. Performs other duties as assigned. The employee will receive the training, instructions, and support needed to successfully complete any additional tasks that fall within the general scope of their duties and align with the operational needs of the agency.
Knowledge and Abilities:
Knowledge of:
Modern administrative and clerical methods, practices, and procedures. Correct English usage, spelling, grammar, and punctuation. Appropriate customer service practices and techniques. Record keeping and filing practices and procedures.
Ability to:
Operate a computer and other standard office equipment. Organize and maintain files accurately and efficiently. Understand military time and phonetic alphabet. Communicate clearly and effectively, orally and in writing. Learn and apply new information and skills. Use tact, discretion, and courtesy in dealing with sensitive situations and unhappy individuals.
Education and Experience:
Any combination of training and experience that would provide the required knowledge, skills and abilities is qualifying. A typical way to obtain the required qualifications would be: Graduation from high school or G.E.D. equivalent; and at least 1 year's previous experience in a direct customer facing environment; or an equivalent combination of training and experience. Previous experience in airport service environment and familiarity with airport processes, documentation, and systems, and point of sale systems preferred. Conditions of Employment Possession of, or ability to obtain, a valid California Driver's License by the time of appointment. This requirement is in accordance with California law, as the position involves operating agency vehicles as part of its essential functions. Successfully complete background check to obtain and maintain federally mandated security clearances where required. Completion of a 10-panel drug screen for all substances deemed illegal by the Federal Government
PHYSICAL DEMANDS
Must possess mobility to work in a standard office setting and use standard office equipment, including a computer; vision to read printed materials and a computer screen; and hearing and speech to communicate in person, before groups, and over the telephone. This is primarily a sedentary office classification although standing in work areas and walking between work areas may be required. Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or calculator and to operate standard office equipment. Positions in this classification occasionally bend, stoop, kneel, reach, push, and pull drawers open and closed to retrieve and file information. Employees must possess the ability to lift, carry, push, and pull materials and objects weighing up to 25 pounds.
ENVIRONMENTAL ELEMENTS
Employees work in an office environment with moderate noise levels, controlled temperature conditions, and no direct exposure to hazardous physical substances.
