Bill Marriott Purpose:
Provide administrative and clerical support to Sales and Catering Managers and the Front Desk to ensure exceptional customer satisfaction. Serve as a key point of communication by professionally operating the hotel switchboard and managing guest and hotel inquiries. Maintain the accuracy of room blocks and reservations, contributing to a seamless guest experience that maximizes satisfaction and operational efficiency, this includes forecasting of room inventory.
ESSENTIAL DUTIES/RESPONSIBILITIES
Answer all incoming calls promptly in the prescribed manner. Process all reservation requests, changes, and cancellations received by computer, phone, fax, or mail. Explain guarantee, special rate, and cancellation policies to callers Pre-register designated guests and prepare key packets when possible Organize and coordinate pre-blocking/ pre-registration for arriving groups. Review out of order rooms daily Identify any over-commitments. Answer questions about property facilities/services and accommodations. Follow sales techniques to maximize revenue. Communicate information regarding designated VIP reservations. Input and access data in reservation system. Input group rooming lists using reservations systems, revise room blocks to maintain the required number of rooms available and keep organized files of all groups. Set up proper billing accounts according to accounting policies. Welcome and acknowledge all guests according to company standards; anticipate and address guest service needs; assist individuals with disabilities; than guests with genuine appreciation. Type correspondence, reports and forms as well as prepare simple written correspondence. Once Sales Manager Contracts are completed, GRC's responsibility is to create the Group Block in the PMS/Marsha System Create new files and monitor trace files; geographic, trace and master cards. Prepare coversheets and rooming lists based on room blocks and customer information. Send Weekly PHT Reports to the Sales team, and other reports as needed. Professional and positive communication with both guests and fellow employees. Proactive attitude and Forward thinking when dealing with group blocks, deadlines, and detailing/rooming lists. Verify all reservations and group room blocks. Input promptly, correctly code and update all hotel information into the reservation system. Maintain group information, monitor the progress of all room blocks, and communicate with the sales manager and clients regarding the status of upcoming/future groups. Assisting with Reservation requests from Group and Corporate Clients Enter all special room requests into computer or manual systems and alerts front desk staff, housekeeping and other departments as needed.
OTHER DUTIES/RESPONSIBILITIES
Monitor and maintain internal keys and logs in compliance with key control procedures. Be familiar with hotel, its services and the local area. Be familiar with check-in procedures, assist as needed. No travel required.

None Qualifications:
Experience in previous Rooms Controller or Group Rooms Coordinator role preferred. 1-year minimum experience in front desk sales or customer service in the hospitality industry required. Previous Marriott experience highly preferred.
