In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your energetic approach and attention to detail will help create a positive environment for clients, visitors, and team members alike. Duties Greet visitors, clients, and staff with enthusiasm and professionalism, ensuring a warm and welcoming atmosphere Answer multi-line phone systems efficiently, directing calls accurately and courteously using proper phone etiquette Manage appointment scheduling and calendar management using productivity software such as Microsoft Office and Google Workspace Perform data entry tasks with high accuracy, maintaining organized filing systems both physically and digitally Handle clerical responsibilities including proofreading documents, filing paperwork, and managing correspondence Support office management tasks such as inventory tracking, supply ordering, and basic bookkeeping using QuickBooks or similar software Provide customer support by addressing inquiries promptly and professionally, ensuring excellent service at all times Qualifications Proven experience in office management or administrative roles with strong clerical experience Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools Familiarity with QuickBooks for bookkeeping and financial record-keeping is preferred Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently Exceptional customer service skills combined with professional phone etiquette on multi-line systems Bilingual abilities are a plus to assist diverse client needs effectively Previous experience as a front desk or medical/dental receptionist is advantageous but not required; training will be provided for specific industry needs Demonstrated technical proficiency in office equipment and productivity software; ability to proofread documents accurately Personal assistant experience or medical receptionist background is beneficial for understanding specialized workflows Join us as a Front Desk Associate to be the first point of contact that sets the tone for a positive experience.
