Job Description

POSITION SUMMARY
The Group Rooms Coordinator plays a critical role in the success of the Group Sales department. Often the first point of contact for clients, this position is essential in setting the tone for seamless and professional experience. The coordinator manages group reservations and rooming lists, ensures accurate billing processes and provides a high level of communication across departments to support flawless execution of meetings and events. Exceptional attention to detail, professionalism, and communication skills are required as this role works directly with clients, sales manager and internal partners to deliver a standard of excellence that reflects the resort's commitment to luxury service.
ESSENTIAL FUNCTIONS
Serves as the initial contact for group and meeting clients, providing exceptional service and support Manages group room reservations, rooming lists and modifications with precision and accuracy Oversee billing processes for group accounts, ensuring clarity and timeliness Acts as a liaison between clients, sales managers and other departments Maintains accurate records, databases and reporting for group business Responds to client inquiries via phone and email with professionalism and attention to detail Ensure compliance with resort policies, brand standards and service excellence expectations Provides proactive problem solving and anticipates client needs to ensure high satisfaction Performs additional administrative and operational tasks in support of meetings and group business All other duties as assigned
EXPERIENCE/QUALIFICATIONS
Minimum Degree Required:
High School Diploma or Equivalent Minimum of 2 years in hospitality group sales or support role preferred
KNOWLEDGE, SKILLS, AND ABILITY
Organizational Skills:
Crucial for managing multiple group bookings, room blocks, and detailed logistics.
Communication Skills:
Strong verbal and written communication to interact effectively and professionally with clients, colleagues, and other departments. Attention to
Detail:
Vital for accuracy in guest information, billing, and room assignments.
Technical Proficiency:
Experience with booking software, and Microsoft Office (Word, Excel, Outlook) is required
Customer Service:
Ability to provide excellent service and resolve issues efficiently to ensure guest satisfaction.

Regularly walks, sits, stands and does computer work. Seldom/Never lifts up to 50 lbs.
INDEPENDENT JUDGEMENT
Performs tasks and duties under general supervision, using established procedures and innovation. Chooses from limited alternatives to resolve problems. Occasional independent judgment is required to complete work assignments. Often makes recommendations to work procedures, policies, and practices.
