Position Summary The Guest Experience Specialist serves as the face of St. Louis Skin Solutions, ensuring each patient receives exceptional service throughout their journey with our practice. This role is responsible for managing guest experience operations, scheduling appointments, handling patient communications, processing transactions, supporting retail sales, and collaborating with providers to ensure a seamless and elevated patient experience. Key ResponsibilitiesPatient Experience & Hospitality Create an exceptional, luxury-level experience for every patient from first contact through follow-up care. Welcome patients with warmth, professionalism, and genuine enthusiasm. Deliver outstanding service through in-person, phone, text, and email interactions. Address patient questions, concerns, and requests promptly and professionally. Build lasting relationships that foster trust, loyalty, and long-term patient retention. Ensure every patient feels valued, informed, and cared for throughout their visit. Guest Experience Operations Manage daily operations at the Experience Desk. Check patients in and out efficiently and accurately. Verify patient information and maintain accurate records. Monitor provider schedules and assist with maintaining smooth patient flow. Maintain a clean, organized, and welcoming reception area that reflects our brand standards. Support office operations and contribute to an efficient, positive work environment. Scheduling & Communication Schedule, confirm, and modify appointments using practice management software. Answer incoming calls and respond to inquiries regarding treatments, pricing, memberships, and scheduling. Send appointment reminders and follow-up communications. Coordinate communication between patients, providers, and team members. Assist in optimizing provider schedules to maximize efficiency and patient satisfaction. Retail & Financial Responsibilities Process payments and maintain accurate financial transactions. Educate patients about skincare products, memberships, and treatment packages. Support retail sales initiatives and contribute to practice growth. Maintain retail displays and ensure products are stocked and presented professionally. Assist patients with membership enrollment, package purchases, and promotional offerings. Team Collaboration Collaborate closely with providers and clinical staff to ensure seamless patient experiences. Assist with patient flow and treatment room readiness as needed. Participate in team meetings, ongoing training, and professional development opportunities. Contribute to a positive, supportive, and growth-oriented workplace culture. QualificationsRequired High school diploma or equivalent. Minimum 1 year of customer service, hospitality, concierge, medical office, or guest experience experience. Excellent verbal and written communication skills. Strong organizational skills and attention to detail. Ability to multitask and prioritize effectively in a fast-paced environment. Professional appearance and demeanor. Proficiency with computers and scheduling software. Preferred Experience in a medical spa, aesthetic practice, dermatology office, luxury hospitality, or healthcare setting. Experience with electronic medical records (EMR) and practice management software. Retail sales, membership sales, or concierge experience. Passion for aesthetics, skincare, wellness, and patient care.
