Job Overview We are seeking a dynamic and friendly Front Desk Associate to be the welcoming face of our organization. A Hotel Front Desk Agent is the face of the property, serving as the primary point of contact for guests from arrival to departure. They manage reservations, process payments, and resolve complaints, while coordinating with housekeeping and maintenance to ensure a seamless guest experience. [1, 2, 3, 4, 5] Responsibilities Greet visitors warmly and direct them appropriately, ensuring a positive first impression. Manage multi-line phone systems with professionalism, answering inquiries and routing calls efficiently. Handle incoming correspondence, emails, and messages with accuracy and promptness. Provide excellent customer support by addressing inquiries, resolving issues promptly, and maintaining high levels of phone etiquette. Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools, and general computer literacy to complete daily tasks efficiently.
Guest Services:
Greet guests warmly, manage check-ins/check-outs, verify identities, and issue room keys.
Reservation Management:
Book rooms over the phone, via email, or in person, and handle modifications or cancellations.
Cash & Billing:
Process credit card and cash payments, compute bills, and balance shift registers.
Communication & Admin:
Answer phone calls, manage emails, and coordinate room statuses with housekeeping and maintenance departments.
Problem Resolution:
Listen to guest complaints, troubleshoot issues (like a malfunctioning key card), and ensure quick, satisfactory solutions.
Local Knowledge:
Provide information regarding hotel amenities, local attractions, dining recommendations, and travel directions. [1, 2, 3, 4, 5] Experience Prior office experience or administrative support roles preferred; experience in medical or dental reception is a plus. Demonstrated proficiency with multi-line phone systems Bilingual abilities are highly valued to serve diverse client needs effectively. Strong organizational skills with the ability to multitask in a fast-paced environment. Excellent communication skills with a focus on professional phone etiquette and customer service excellence Experience working with Microsoft Office Suite, Google Workspace tools .
