Responsibilities Greet visitors, clients, and staff with a friendly and professional demeanor, ensuring they feel valued and attended to promptly. Manage multi-line phone systems efficiently, directing calls accurately and courteously while maintaining excellent phone etiquette. Handle data entry tasks with precision using tools like Microsoft Office, Google Workspace, and QuickBooks for record keeping and administrative support. Maintain organized filing systems, process incoming and outgoing correspondence, and ensure documents are proofread for accuracy. Support office management duties such as calendar management, appointment scheduling, and coordinating meetings or events. Assist with clerical tasks including typing reports, proofreading documents, and managing office supplies inventory. Provide exceptional customer service by addressing inquiries promptly and supporting visitors or clients with their needs. Experience Previous office experience or clerical experience is highly preferred; familiarity with front desk operations is a plus. Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic bookkeeping tools like QuickBooks. Strong organizational skills with the ability to multitask effectively in a fast-paced environment. Excellent phone etiquette skills with experience managing multi-line phone systems and providing customer support. Bilingual abilities are desirable to serve diverse client needs effectively. Experience in medical or dental receptionist roles is advantageous but not required; relevant personal assistant experience is also valued. Ability to handle data entry accurately, manage filing systems efficiently, and perform proofreading tasks diligently. Knowledge of office management practices including calendar management, time management techniques, and office supply coordination.
