This role is vital in creating a positive first impression for visitors, clients, and staff while ensuring smooth daily operations at the front desk. The ideal candidate will possess excellent communication skills, a proactive attitude, and the ability to handle multiple administrative tasks efficiently. Responsibilities Greet visitors, clients, and staff warmly, providing outstanding customer support and assistance. Manage multi-line phone systems, directing calls accurately and professionally while maintaining phone etiquette. Handle front desk duties such as scheduling appointments, managing calendars, and coordinating meetings. Perform data entry, filing, and document proofreading to ensure accuracy and organization of records. Utilize office management software including Microsoft Office Suite, Google Workspace, and QuickBooks for various administrative tasks. Maintain office supplies inventory, organize files, and ensure the front desk area remains tidy and welcoming. Support administrative functions such as answering inquiries, managing correspondence, and assisting with clerical duties like typing and proofreading. Requirements Proven experience in office management or administrative support roles with strong clerical skills. Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools. Prior experience working with multi-line phone systems and providing exceptional phone etiquette. Bilingual abilities are highly preferred to serve diverse client needs effectively. Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively. Previous experience as a receptionist or in a medical/dental office environment is advantageous. Demonstrated customer service skills with a friendly demeanor and professional appearance. Knowledge of bookkeeping or QuickBooks is a plus for handling basic financial transactions or recordkeeping. Personal assistant or calendar management experience will be considered an asset for supporting executive schedules.
