Position Summary:
REQUIREMENT
Must be able to work Morning, Afternoon, and/or Overnight shifts. Attend to guests courteously and deal promptly with their requests and queries. Have detailed information about the hotel and city. Check on VIP guest movements and complete their pre-registration formalities. Allocate rooms to all arriving guests after checking guest preferences. Collect guest feedback forms and do any necessary firsthand service recovery steps.Front Desk Representative Duties and Responsibilities:
Greet and welcome guests with a smile. Answer phones promptly per brand standards in a polite and professional manner using the standard phase according to the hotel brand. Assists in pre-registration and blocking of rooms for reservations. Thoroughly understand and adheres to proper credit, check-cashing, and cash handling policies and procedures. Understands room status and room status tracking. Knows room locations, types of rooms available, and room rates. Must be sales minded. Presents options and alternatives to guests and helps in making choices. Uses suggestive selling techniques to sell rooms and to promote other services of the hotel. Knows the location and types of available meeting rooms, as well as the activities and services of the property. Coordinates room status updates with the housekeeping department by notifying housekeeping of all check-outs, late check-outs, early check-ins, special requests, and day use rooms. Possesses a working knowledge of the reservations department. Takes same day reservations and future reservations when necessary. Knows and follows cancellation procedures. Always maintains a clean work area. Utilize the property management system and all other required technology to carry out daily responsibilities like process check-outs, check-ins, etc. Report to work per schedule. Punctuality is an important factor to this position. Knows how to use front office equipment. Performing cashier related functions like posting charges to guest accounts, currency exchange, etc. Follows procedures for issuing and closing safe deposit boxes used by guests. Works closely with the housekeeping department in the keeping room status reports up to date and coordinates requests for maintenance and repair work. Uses proper telephone etiquette. Uses proper mail, package, and message handling procedures and record details in the mail register. Communicate services and amenities of the hotel to guests. Obtain proper identification for tax-exempt guests and follows proper filing procedures. Reads and comprehends the daily log. Attends department meetings. Reports any unusual occurrences or requests to the general manager, front office manager, or supervisor. Knows all safety and emergency procedures, and is aware of accident prevention policies. Understand that business demands sometimes make it necessary to move employees from their accustomed shift to other shifts. Notify guest of any messages, mail, faxes, etc. received for them. Assist Front Desk Supervisor or other upper level managers in other duties or tasks as assigned.REQUIREMENTS
Prerequisites:
Requires grasping, writing, standing, sitting, walking, repetitive motions, hearing, visual activity, and may on occasion have to lift and carry up to 40 pounds. Communication, organization, interaction, dedication and professionalism are a requirement for this position. Must be able to manage any shift that has been voluntarily picked up. Have knowledge of computer skills and property management system including night auditing. Excellent customer service is a must for this position. Bilingual preferred but not required.Education:
Minimum high school graduate or equivalent. Must be able to read, speak, write, and understand the primary language used in the workplace.Experience:
