In this vital role, you will manage front desk operations, provide exceptional customer service, and support office management functions. Your enthusiasm and organizational skills will ensure a smooth flow of daily activities, creating a positive experience for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your administrative expertise in a dynamic environment. Duties Greet visitors and guests warmly, ensuring they feel welcomed and attended to promptly. Utilize property management system to create reservations and to check guests in and out. Manage multi-line phone systems efficiently, directing calls to appropriate departments or personnel with professionalism and courtesy. Handle data entry tasks accurately using computer skills, including Microsoft Office, Google Workspace, and QuickBooks when applicable. Maintain organized filing systems, process incoming and outgoing correspondence, and perform proofreading to ensure clarity and accuracy. Support office management by scheduling appointments, managing calendars, and coordinating meetings with excellent time management skills. Provide customer support through friendly communication, addressing inquiries promptly and professionally. Assist with clerical tasks such as filing, photocopying, typing documents, and maintaining office supplies. Qualifications Proven office experience with strong organizational skills and attention to detail. Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and data entry tools. Prior experience in customer service or administrative roles is highly desirable. Bilingual abilities are a plus to effectively communicate with diverse guests and team members. Familiarity with multi-line phone systems, phone etiquette, and office management practices. Strong typing skills combined with proofreading abilities to ensure error-free documentation. Knowledge of QuickBooks or bookkeeping experience is advantageous for financial tasks. Ability to handle clerical duties such as filing, calendar management, and document organization efficiently.
