In this vital role, you will manage front desk operations with enthusiasm and professionalism, ensuring a smooth and positive experience for visitors, clients, and team members alike. Your proactive approach and excellent organizational skills will help maintain an efficient office environment while providing exceptional customer support. We are a close-knit team, offering exceptional service, all the while enjoying camaraderie and great laughs! Qualified candidates with Opera Xpress and Opera Cloud PMS experience will be given first priority. Duties Greet visitors, clients, and staff with warmth and professionalism, creating a positive first impression Answer multi-line phone systems promptly and courteously, directing calls accurately and efficiently Manage appointment scheduling, calendar management, and coordinate meetings using Google Workspace and Microsoft Office tools Perform data entry, filing, proofreading, and maintain accurate records for office documentation Handle clerical tasks such as photocopying, faxing, mailing, and organizing office supplies Provide excellent customer service by addressing inquiries via phone or in person with patience and clarity Support office management activities including bookkeeping with QuickBooks or similar software as needed Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Exceptional phone etiquette and communication skills; bilingual abilities are a plus for serving diverse clients Previous office experience or administrative experience preferred; familiarity with clerical duties such as filing and data entry Knowledge of multi-line phone systems for efficient call handling Experience in customer support or customer service roles that require patience and problem-solving skills Ability to manage time efficiently while juggling multiple responsibilities including calendar management and proofing documents Basic bookkeeping skills using QuickBooks or similar software are advantageous Personal assistant or medical/dental receptionist experience is beneficial but not required Join us as a Front Desk Agent to be the friendly face that keeps our office running smoothly!
