Prescott Pines & Frontier Village (PPC): Used primarily for retreat groups, family camps, and summer rentals.

Our mission is simple and foundational: To create intentional spaces where relationships grow and moments matter. Position Summary The Guest Services Manager is the operational backbone behind every group experience at CampWay. You own the systems and the execution that make a camp look welcoming when a new group arrives and feel well-supported throughout their stay. This is a player-coach role. You work with the booking team to pull group information from HubSpot and translate it into specific preparation tasks before each arrival—including housekeeping, grounds pickup, meeting space setup, AV configuration, custom welcome elements, and materials management. You hire, train, and supervise your team, which may include staff who work across departments. You are in it with your team, doing the physical work of turnovers, setups, and daily site upkeep. But the job does not stop when a group arrives. While groups are in residence you remain available to support their experience in real time: building fires, moving furniture, troubleshooting AV, resetting spaces between sessions, and responding to whatever comes up on-site. You are part of the reason a group's stay feels smooth from start to finish, not just when they pull in. You cover all three CampWay locations, focusing on whichever sites have groups in residence each week. Key Responsibilities This list represents essential job functions. Additional duties may be assigned as business needs require. Turnovers and site readiness Lead cabin turnovers between groups, including stripping and remaking beds, cleaning bathrooms, sweeping, and resetting common areas Coordinate and work alongside housekeeping staff to complete turnovers within the time windows between group departures and arrivals Conduct a readiness walk of each site before a new group arrives to catch anything that was missed Ensure meeting rooms are set up according to each group's run-of-show: including arranging tables and chairs, configuring AV technology, and preparing outdoor elements such as woodpiles, campfires, and lighting prior to arrival Manage trash and waste removal across all active sites on a consistent schedule In-residence support Remain available and responsive while groups are on-site to support their experience in real time Build and tend campfires for groups as scheduled or requested, ensuring fires meet safety standards Move, reset, or reconfigure furniture and equipment between sessions, activities, or meals as group needs shift throughout the day Troubleshoot AV and technology setups in meeting rooms and program spaces, escalating to appropriate support when needed Reset meeting rooms, dining spaces, or activity areas between uses during a group's stay Respond promptly to on-site requests from group leaders or hosts for operational support Anticipate what a group will need next and stay ahead of it rather than waiting to be asked Team leadership Hire, onboard, and train housekeeping and facilities staff to CampWay standards Build and manage staff schedules week-to-week based on the group calendar across all three locations Supervise a team of 4-8 staff, many of whom work across departments (housekeeping, program, kitchen), and coordinate with other managers when shared staff shift roles to maintain a consistent leadership approach Spot-check work quality and address issues directly and constructively as they come up Model the standard of care you expect from your team, reinforcing CampWay's cleanliness standards and turnover procedures on an ongoing basis. Camp store and inventory Manage day-to-day camp store operations, including opening, stocking, sales, and closing Track inventory levels across supplies, linens, cleaning products, and camp store merchandise Place supply orders in a timely way to avoid shortages, particularly heading into high-volume periods Maintain organized storage areas at each site so staff can find what they need without hunting for it Key access and security Manage key cards, door codes, and physical keys across all three sites Assign and track access for incoming groups and revoke or reset access after departure Troubleshoot access issues promptly when they come up, including after hours when a group cannot get into a space they need Maintain an accurate log of access assignments and code changes Special Events & Cross-site coordination Coordinate site preparations for special events including open houses, weddings, and similar occasions Review upcoming group bookings in HubSpot to understand arrival times, group size, space assignments, special requests, and program needs, then translate that information into a clear site preparation plan with assigned tasks and deadlines for your team Coordinate with the program team and kitchen team on any setup or logistics that overlap with their work Flag any facilities or maintenance issues you encounter to the appropriate person so they get addressed before the next group Adapt priorities quickly when a group needs change, arrivals run early or late, or something unexpected requires attention. During slower periods (particularly winter), assist with facilities maintenance projects as directed What Success Looks Like Sites are consistently ready before groups arrive. Turnovers run on time even on the tightest windows. Groups feel supported throughout their stay. Your team knows what to do and executes without close management. Inventory is stocked, access is clean, campfires are built, rooms are reset, and no group ever has to wait or wonder who to call. Schedule & On-Call Expectations This role does not follow a fixed weekly schedule. Hours and days shift based on the group calendar, which drives everything. When groups are arriving, turning over, or in residence, you are present. When the calendar is light, the pace slows accordingly. Evening availability, weekend work, and overnight on-call coverage are all part of this role during peak periods. We will work together to build a schedule that reflects the actual demands of the calendar rather than a fixed weekly template. Flexibility in both directions is expected and respected. Qualifications Experience & Skills Experience in housekeeping, facilities management, hospitality operations, camp operations, or a related field, with demonstrated ability to supervise and develop a team of 4 or more people Comfortable using a computer and basic software to review booking information, build schedules, and communicate with the broader team (HubSpot experience is a plus, not required). Exceptionally organized with the ability to manage multiple priorities and locations simultaneously Clear and direct communicator with team members and cross-departmental contacts Takes ownership proactively: reviews information, sets priorities, and moves work forward without needing to be prompted Stays calm and adapts quickly when the schedule changes or something goes sideways Physically capable of the demands of the role: on your feet for long stretches, lifting and moving supplies, working in varying outdoor conditions Drivers License and ability to drive a large truck and trailer Experience driving a snowplow or willingness to learn Physical Requirements Sit, stand, bend, kneel, and walk for extended periods Lift and carry up to 70 pounds Work in indoor/outdoor environments, including varying weather conditions Work evenings or weekends as needed Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.
