Job Description:
A private estate in Newport Beach is seeking an experienced, highly capable Estate Manager to oversee all aspects of residential operations. This role requires someone proactive, detail-oriented, discreet, and highly responsive, with the judgment and follow-through to anticipate needs, manage shifting priorities, and operate effectively in a fast-paced environment with high standards.
Responsibilities:
Oversee daily household operations, ensuring efficiency, organization, and consistently high standards Manage the household schedule and anticipate day-to-day needs and priorities Coordinate and supervise vendors, trades, and service providers for all interior and exterior needs Oversee maintenance, repairs, construction, and renovation projects, including bids, contracts, timelines, and quality control Develop, maintain, and implement estate procedures and operational documentation Manage household budgets, inventories, purchasing, personal shopping, and expense tracking Liaise with the Principal's offices regarding scheduling, travel, events, and special projects Host and greet guests, supporting both formal and informal events and service Maintain vehicle scheduling, servicing, records, and related documentation Maintain updated household contacts, vendor lists, and operational records Plan and coordinate events as needed Run various errands for the household and Principal as needed Respond to after-hours matters when required
Requirements:
Education or a degree related to project management, estate management, facilities, culinary, or hospitality is preferred Minimum 3 years of experience managing a private estate and/or luxury hotel, including experience coordinating with staff, vendors, and service providers Knowledge of building operations, facilities management, and luxury items such as fine art and antiques Strong organizational skills, excellent time management, punctuality, attention to detail, and the ability to multitask with follow-through from start to finish Experience and knowledge in both informal and formal dining and beverage service, as well as event management Must be local to the Newport Beach area and available to respond to urgent household or property matters as needed
