Our services include neuromodulators (like Botox), dermal fillers, GLP weight loss programs, IV therapy, facials, and advanced skin treatments. We believe first impressions count and are looking for someone who will be the welcoming face of our spa with energy, professionalism, and expertise. Position Overview As our Front Desk Manager, you will be the first point of contact for clients. You'll handle scheduling, inquiries, check-in / check-out, and provide support to ensure our clients feel welcomed, informed, and cared for from the moment they walk in or call. You will work closely with our aesthetic providers and team to maintain smooth operations. Key Responsibilities Greet clients in person, ensuring a warm, friendly, and professional welcome Answer, screen, and respond to phone, email, and text inquiries promptly and politely Schedule, reschedule, and confirm appointments using our booking software / EMR system Check clients in at arrival, verify forms, consent, collect payments, and check out post-treatment Educate clients on our services (neuromodulators, fillers, GLP weight loss, IV therapy, facials, skin treatments), promotions, packages, and aftercare instructions Maintain accurate and up-to-date client records, treatment histories, and contact information Handle basic patient prep Assist with inventory management of front desk supplies, retail skincare products, and promotional materials Keep reception area clean, organized, and presentable Handle billing transactions, process payments, and reconcile daily cash or POS reports if applicable Support post-treatment follow up (reminders, feedback) and facilitate excellent customer experience Assist with marketing / social media / Photography / promotions as needed Required Qualifications Minimum of 2 year of experience working in a med spa/aesthetic environment (front desk, concierge, patient coordinator, etc.) or Hotel Guest/Sales experience and management will be considered as well. Good understanding of aesthetic treatments (neuromodulators, fillers, IV therapy, weight-loss protocols, facials, skin science) and ability to answer basic questions or direct clients appropriately Excellent customer service and communication skills (both verbal and written) Strong organizational skills; ability to multitask, prioritize, and stay calm in busy periods Comfortable using appointment scheduling / EMR / POS software Professional appearance and demeanor - warm, outgoing personality High level of attention to detail and accuracy Able to maintain client confidentiality and follow HIPAA / privacy rules Must be punctual, detail-oriented, and comfortable with computer systems.
