Job Description
The Adult & Senior Recreation Services Coordinator is an entry-level to mid-level professional position within the Community Services & Parks Department, responsible for supporting the planning, implementation, and daily operation of programs and services within the Adult & Senior Services Division. Under the direct supervision of the Adult & Senior Services Manager, this position assists in coordinating a year-round portfolio of recreation, fitness, arts, social, and educational programming for adult and senior residents of East Greenwich, including residents age 55 and over and adults with disabilities. The Coordinator works in a team environment to support meal site operations, senior center programs, community special events, transportation assistance, and social services programs, and maintains regular direct contact with participants, families, volunteers, and community partners. Program Support & Service Delivery:
Assists the Adult & Senior Services Manager in the planning, scheduling, and implementation of a year-round slate of recreation, fitness, arts, social, educational, and enrichment programs for adult and senior residents; directly facilitates program sessions, classes, and activities as assigned. Supports the delivery of community-wide special events including, but not limited to, the Halloween Parade and Party, Summer Concert Series, holiday programs, and senior center activities; assists in event setup, coordination, logistics, and breakdown. Coordinates and administers social services programs including food voucher programs, holiday programs, holiday prepared meals, and information and referral services to outside agencies under the direction of the Adult & Senior Services Manager. Assists in the daily operation of the senior center, ensuring a welcoming, safe, and participant-centered environment for adult and senior residents; interacts regularly with participants to support their comfort, engagement, and wellbeing throughout program activities. Observes participant daily health and behavioral changes; communicates significant changes to the Adult & Senior Services Manager in a timely manner; maintains participant records of needs and services rendered as directed. Assists participants and families in navigating available programs, community resources, and human services referrals; maintains a current awareness of Town, state, and community resources serving adult and senior populations. Supports the planning and delivery of educational and advocacy programming related to senior services and human services resources available to the community. Assists in the preparation of seasonal program brochures, promotional materials, social media content, and direct communications to participants; coordinates with the Adult & Senior Services Manager on program publicity and outreach.
Administrative & Operational Support:
Performs administrative functions in support of division operations including data entry into program registration and department software systems, processing of program registrations and payments, and completion of required forms and records. Assists in the preparation of required reports, attendance records, program evaluations, and documentation of services rendered; maintains organized and accurate division records in accordance with Department policies. Assists in maintaining program supply and equipment inventory; assists with procurement, ordering, and distribution of supplies and materials as directed. Assists in the preparation and maintenance of contracts, certificates of liability insurance, and related documents for program instructors and contractors. Performs various clerical functions as needed, including answering phones, filing, copying, data entry, and correspondence, in support of the division and the Adult & Senior Services Manager. Assists in maintaining the physical environment of the senior center and program spaces; ensures areas are clean, organized, and meet applicable safety and accessibility standards. Handles program revenue, including collecting fees, processing payments, and completing required accounting documentation in accordance with Town financial policies.
Community Engagement & Coordination:
Interacts and collaborates with Town employees, co-workers, participants, volunteers, instructors, community organizations, and representatives of senior and human services programs in a professional, cooperative, and customer-service-oriented manner. Communicates departmental practices, procedures, policies, and guidelines to participants and the public on behalf of the division; relays programming matters, participant concerns, and relevant correspondence to the Adult & Senior Services Manager in a timely manner. Assists in coordinating volunteer activities within the division; supports volunteer recruitment, orientation, and recognition efforts. Assists with facility reservation coordination for the Swift Community Center and other Department facilities as directed; collects applications, insurance documentation, and payments as needed. Attends and participates in department meetings, staff training sessions, and professional development activities as directed by the Adult & Senior Services Manager or Director of Community Services. Supports the Department at special events held during the work day, after hours, and on weekends; works a flexible schedule based on the needs of the Department and the program calendar. Performs all other similar or related duties as directed by the Adult & Senior Services Manager or Director of Community Services. Education and Experience Associate's degree in Parks and Recreation, Human Services, Gerontology, Social Work, Education, Public Administration, or a closely related field is required. A bachelor's degree in a related field is preferred. An equivalent combination of education and related work experience demonstrating the ability to perform the essential functions of this position may be considered. A minimum of one (1) to three (3) years of related work experience in recreation programming, senior services, human services, or a comparable setting that demonstrates the required knowledge, skills, and abilities to perform the essential functions of the job is required. Experience working directly with adult or senior populations in a recreation, community center, or human services environment is strongly preferred. Licenses and Certifications Valid driver's license with an acceptable driving record required at time of appointment. Chauffeur's license required, or ability to obtain within six (6) months of appointment. CPR, AED, and First Aid certification required, or ability to obtain within three (3) months of appointment. Rhode Island BCI (Bureau of Criminal Identification) background check and license check required as a condition of appointment. CDL with passenger endorsement preferred; or ability to obtain as directed by the Adult & Senior Services Manager based on operational need.
