Job Description

Hiring Department Alumni Affairs and Constituent Relations Job Description Responsible for the day-to-day operation and upkeep of the facility. Coordinates event space rentals and logistics, as well as the marketing and promotion of the venue to external constituents.
Key Responsibilities:
Lead contact and coordinator for items related to the scheduling, maintenance and performance of Hasselmann Alumni House. Responsible for the marketing and promotion of rental offerings for external events through all communication channels including website and social media. Maintain quality service by enforcing the highest quality and customer service standards, analyze and resolve quality and customer service problems; identify trends; recommend system improvements Prepare (and execute where appropriate) all policies, rates, invoices and event contracts to facilitate the management and utilization of the facility. Develop and prepare quarterly facilities usage and earnings spreadsheets for the Association and the alumni association Board of Directors. Responsible for preparing all deposits of fees and reviewing building services expenditures in conjunction with the Association accountant. Assist in the management of yearly budgets Hire, train, supervise and administer payroll for the student operations/tech assistants employed by the Association. Manage and maintain a monthly work schedule as it relates to the various events/meetings scheduled at the facility Serve as the primary liaison to university parking, custodial services, maintenance operations, security and grounds keeping. Supervise and coordinate activities which require maintenance or custodial personnel Execute care and inventory of building spaces, furniture, equipment, AV and lighting systems, dishes, linens and décor Plan, assign, review and approve all setup and operations. Inspect space and equipment for repair and/or cleaning needs daily Assure compliance with building, fire and safety codes during events and repair activities. Recommend replacement or acquisition of items needed for specific events. Perform product searches and prepare bid specifications for procurement Job responsibilities listed herein are a general description of typical job duties, responsibilities, qualifications and physical demands of the incumbents but should not be considered all-encompassing as actual responsibilities may additionally include other duties as assigned Assist the Miner Alumni Association with internal events and activities as assigned Availability to work alumni and student events on evenings and weekends Minimum Qualifications A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary Preferred Qualifications Bachelor's degree in hotel, restaurant and institution management, business, marketing or food related area Two years of event planning and/or facilities management and marketing Anticipated Hiring Range The anticipated hiring range for this position has been established as $53,976 to $65,000 annually Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
