Key Responsibilities Administrative Operations and Maintenance
  • To maintain America's region office Lease and Agreement.
  • Making sure lease renewal are on time.
  • Making sure lease renewal process followed and have approvals as per LOA.
  • Approving engagement & amendment in system on time.
  • HVAC, Cleaning, Stationery, Courier etc. agreements renewal & in system.
  • Making sure office construction/refurbishment is done on time.
  • All reports should be updated every day in system.
  • Everyday walkthrough to office, meet managers and take notes of repair work which needs to be done.
  • Making sure Office cleanliness. And Signages are installation on time.
  • Maintaining CapEx & OpEx records.
  • Maintaining Writing off furniture and other items records.
  • Manage day-to-day administration and control expenses related to maintenance, utilities, communications equipment, and hospitality services.
  • Ensure the upkeep and maintenance of office furniture, fixtures, and equipment, and represent the administration team during audits.
  • Oversee the implementation of contracts with service providers, ensuring timely renewal of maintenance contracts.
  • Making sure all invoices are submit on time without delay for payment.
  • Provide stationery, food, and corporate gifts as requested by business units and management. Procurement, Payments, and Compliance
  • Maintain records of utility bills, vendor invoices, and other expenses to ensure timely processing and payment.
  • Process material management payments through SAP, ensuring adherence to VFAR and purchase policy in invoice processing.
  • Manage petty cash for daily expenses, prepare vouchers, and report payments to vendors.
  • Collaborate with employees, vendors, and service providers to address procurement, repair, and maintenance needs.
  • Monitor compliance with occupancy certificate & licenses, ensuring timely renewal of vendor contracts. Documentation, Governance, and Sustainability
  • Maintain proper documentation of reports, audits, contracts, and other administrative records.
  • Ensure compliance with
ISO 14001
by implementing measures to manage energy consumption and reduce waste.
  • Protect sensitive information by adhering to VFS' Global information security policies and procedures.
  • Follow the code of conduct and VFS Administration Standard Operating Procedures.
  • Oversee handovers and takeovers of premises, obtaining clearance certificates during transitions.
  • Respond to inquiries, troubleshoot issues, and maintain stakeholder satisfaction. Skills & Experience
  • 10 - 12 years of relevant experience
  • Handle Admin of US/ Canada/LATAM and coordinate with staff based at Mumbai
  • Travel requirements within Region -25%
  • Excellent writing and editing skills across formats
  • Knowledge of Computers and work with MS Office efficiently
  • Strong organizational skills with the ability to manage multiple priorities Personal Attributes
