Auburn Colony Dining Hall Manager

Job Summary The Auburn Colony seeks a Dining Hall Manager to work with the Colony owners and staff to oversee operation of the Dining Hall during the summer season for Colony owners, associates, renters, and guests. The Dining Hall will ideally be operated in 2026 for approximately 11-15 meals during the summer season. This is a part-time position and reports to the Colony president.

Specific tasks:

Work with the Dining Hall Committee to establish a calendar for meals including 7 Sunday brunches, 4-6 catered or foodtruck dinners, 2 potluck dinners (late June and Labor Day weekend), several cocktail parties to be hosted by Colony owners. Plan dining hall budget Complete required health certification for State of Maine food service workers. Obtain yearly restaurant operating permit from State of Maine by scheduling and being present for the inspection. Hire and supervise dining hall staff including cooks, servers, clean up crew for each meal. Investigate most economical ways to purchase food and supplies. Open accounts with vendors and mail order companies who do local deliveries. Prepare the dining hall for opening. Activate internet, mail, cleaning, trash pick-up, and propane delivery. Work closely with associate dining hall members to increase membership and increase participation. Reach out to former associates pre-season to offer membership renewals, reach out via community organizations and advertisement to find new members, recruit cottage owners to host cocktail parties and other activities. Develop a calendar for events and menus planned to send to owners, associates, and renters several weeks prior to the beginning of the season. Update renters handbook and associates handbook. Include policy on appropriate contact and feedback to owners and staff. Work closely with cottage owners who rent to obtain contact information for their renters prior to the start of the season. Follow sanitation and safety codes for restaurants in Maine. Supervise all dining hall staff. Purchase food and supplies at local stores and farmers markets if more cost effective than using a delivery service. Be present at mealtimes to coordinate meal service, organize the dining room, supervise staff, fill in for missing staff if needed, check in patrons, and help with cleanup if needed. Close and lock up the kitchen. Oversee use of facilities for both Colony and non-Colony functions. Develop and send a weekly e-mail newsletter for owners, associates, and renters. Be the direct contact for associates and associates' representatives. Coordinate with bookkeeper in reporting expenses on a weekly basis and final season reports. Oversee budget and anticipate large expenditures or major changes; obtain approval for unexpected large expenditures from Colony president. Familiarity with Quickbooks is desirable. Manage online reservations for meals. Establish procedure to take checks from few elderly associates who are challenged by online reservations. Meet as needed with renters to update on current procedures and answer any questions. Do a thorough assessment of equipment and upgrades needed for following season. Prepare and present requested documentation for executive committee meetings, owner meetings, and dining hall committee meetings.
