Full Job Description Overview:
This position is responsible for procurement of goods and services and the overall organization of the Banquet Department. The Banquet Office Supervisor will maintain vendor relations, inventory levels, cost controls, receipt and distribution of all goods utilized by the Banquet Department. Additionally the Banquet Office Supervisor will be responsible for all daily administrative tasks that involve the day to day operation of the Banquet Department.
Responsibilities:
Purchasing Duties to be collaborated with the
Vice President of Food & Beverage Operations and Strategic Planning:
Utilize property approved purchasing software, BirchStreet process in regards to all purchases, receipt and distribution of goods Review, evaluate, and approve product purchases in conjunction with property specifications and mandates Track and evaluate for cost control purposes the purchase of all food and other operating supplies as designated into the Banquet Department Produce month end reports for the accounting department and F&B leadership team that provides support for cost of sales and inventory management including variance analysis Monitor supplier performance and business levels. Ensure food safety compliance, in accordance with HACCP and FDA regulations Maintain balance of inventory control levels, utilizing min/max processes, expiration date inspections, product rotation and first in, first out practices Collaborate with the Director of Banquets to develop metrics for gauging inventory level needs and then maintaining those levels based on business levels Ensures inspection and accuracy for all receipt of goods, to include product verification, quality and quantity against vendor delivery receipt Supervise all monthly inventories to include designation of time, date, organization of count team, inventory locations, count procedures (shelf to sheet), product transfers, export of count sheets and data entry of quantities counted Ensure/prepare all requested or assigned reports in a timely and accurate manner. Establish and nurture vendor partnerships Maintain a safe working environment, ensuring compliance with sanitary procedures Ensure that all current and future SOPs relating to the Purchasing / Receiving department are understood and all related parties trained to perform to such standards Administrative Duties to be collaborated with the
Director of Banquets:
Implements and enforces all control procedures for hotel goods entering through the Banquet areas Participates in the development of schedules as needed to maintain financial management of the department Manages department's controllable expenses to achieve or exceed budgeted goals. Ensures accurate administration of all invoices and adheres to proper bookkeeping procedures Use effective and professional communication to ensure that the department functions properly and associates interface with one another for effective execution in planning and operations Maintain department files Create all department purchase orders Monitor HotSOS progress and follow up on all entered improvements and maintenance orders Demonstrate a customer driven style of leadership with a sense of urgency in interactions, execution and recovery Consistently and effectively model the mission statement and core values of the property at all times Serve as a role model, trainer/coach and mentor to provide continuing education to others Act as an ambassador of the department/company at all times Schedule all Conference Concierge for business levels Supervise and assign work to all Conference Concierge based upon business levels Provide feedback and coaching/counseling to all
Conference Concierge Additional Duties & Responsibilities:
2-way radio, fax machine, calculator, typewriter, PC, other office equipment as deemed necessary
Qualifications:
Experience:
2 years of hospitality experience in a supervisory capacity
Skills and Abilities:
College level math, written, and verbal skills; proficiency with BirchStreet, Excel and MS Office Service oriented with a sense of urgency and ownership Ability to work without direct supervision Time management skills

Base Pay Start Rate:
