Job Description

Our client, a leading organization in the corporate travel industry, is seeking a Travel Coordinator to join their team. As a Travel Coordinator, you will be part of the Operations Department supporting the Travel Services Team. The ideal candidate will have excellent communication skills, strong organizational abilities, and a customer-focused mindset, which will align successfully in the organization.

  • Travel Coordinator (US Travel Desk)
  • We are seeking a highly detail-oriented Travel Coordinator to join a fast-paced, technical environment supporting a team-based US travel desk. This role partners with two other team members to manage complex, high-volume travel arrangements for approximately 300 employees.
  • Key Responsibilities:
  • + Coordinate all aspects of employee travel, including domestic, international, multi-leg, and group travel + Arrange hotels, car services, temporary housing, and full-service relocations (including families and pets) + Manage visa procurement and travel documentation + Create detailed itineraries and ensure seamless travel experiences + Provide after-hours support for travel emergencies + Liaise with travel vendors, agencies, and internal stakeholders •
Qualifications:
  • + Proven, hands-on experience in a travel coordination or travel agency environment (required) + Demonstrated ability to manage complex travel bookings at scale (not limited to occasional executive travel) + Strong attention to detail and ability to thrive in a fast-paced setting + Experience with international relocations is highly preferred + Portuguese language proficiency strongly preferred (due to frequent relocations from Brazil) •

  • This role functions similarly to a professional travel agent, requiring deep industry experience and the ability to manage intricate logistics for a diverse employee population.

  • + Create employee travel profiles including personal details, IDs, frequent flier numbers, seat preferences, and addresses + Work directly with employees to facilitate quotations and bookings for business travel while providing exceptional customer service + Coordinate travel arrangements with external agencies, including flights, hotels, rental cars, and ground transportation + Research and compare travel options using Concur Solutions to ensure optimal choices + Manage travel documentation, itineraries, and reporting spreadsheets to maintain accurate records •What's Needed?
  • + At least 2 years of experience in booking business travel or related roles + Exceptional attention to detail and organizational skills + Customer service-oriented with excellent communication abilities + Ability to work independently and collaboratively in a fast-paced environment + Proficiency in MS Office applications; fluency in Portuguese is preferred
