The Office of the Vice President for Research (OVPR) at (CMU) is seeking an Export and Foreign Travel Coordinator to join the team. OVPR has responsibility for nurturing interdisciplinary research initiatives at one of the nations' leading research institutions. OVPR provides overall research administration and policy for all colleges and schools, as well as the university's more than 100 centers and institutes. Working closely with deans, department heads, faculty, students and staff, the office provides an innovative and supportive research environment that spans all disciplines and campuses and assures that research activities are planned and conducted in accordance with regulations and University policy. The Export and Foreign Travel Coordinator will play a vital role in expanding the strategic and operational capacity of the Export Control Group (ECG) within the OVPR. This role supports departmental initiatives and internal transformation, with a focus on compliance and operational efficiency. The position is essential in helping the ECG to stay abreast of evolving federal regulations, streamline internal workflows, and ensure timely, accurate institutional responses to oversight bodies and federal agency requests. The coordinator will serve as a key liaison across functional areas, assisting in departmental processing of cases, supporting the AVP of Research Security, and other tasks, as determined by management.
Core Responsibilities:
Responsible for acting as a liaison or contact person with other university departments (i.e., Office of Sponsored Programs, Center for Technology Transfer, ISO), and with outside organizations. Advises researchers via phone and email with basic inquires and forwards them to the department managers and/or Director when necessary. Responsible for handling departmental Export Compliance Email Box, including, but not limited, to assigning respective cases to appropriate department staff, maintaining Restricted Party Screening (RSP) system including daily release of RPS parties and review of potential match statuses within 24 hours, and other activities associated with Export Compliance email box. Responsible for leading and organizing ECG department shared Google folder and website, maintenance and preliminary drafting of departmental policies and procedures, including assistance in drafting and updating. Responsible for assisting in the creation of auditing of Technology Control Plans and other audits as directed by management. Provides administrative assistance such as coordinating meetings, logistics and resources; drafting and generating reports, as needed, including working with ISO and respective departments to collect key-metrics associated with department activities, such as monthly OSP awards by ECG manager, Export Cases by manager/type, and others, as directed Responsible for supporting department leadership in NSPM-33 foreign travel requirements. Assisting the Director of Export Controls and/or the AVP in coordinating security briefings/trainings for faculty with the assistance of management and assisting in reporting of foreign travel for CMU "covered individuals" (researchers/key personnel) as directed. Support future travel review and approval processes for Research Security Adaptability, excellence, and passion are vital qualities within Carnegie Mellon University. Qualifications:
Bachelor's degree required One year of professional work experience is required. Experience with international export compliance, US Export Administration Regulations, International Traffic in Arms Regulations and/or other international trade frameworks is desired. Experience conducting audits and trainings for staff on export regulations Experience advising on licensing, documentation and international shipments. Certified Export Compliance Professional certification (CECP) is preferred but not required. A combination of education and meaningful experience from which comparable knowledge is proven may be considered.
