Job Description
The Admissions Advisor and Tour Guide Coordinator serves as a student-centered representative of the University and plays a critical role in supporting institutional enrollment goals through recruitment, outreach, campus visit experiences, and admissions counseling. This position is responsible for managing prospective student recruitment activities within assigned territories while also coordinating the University's campus tour and student ambassador program. The position supports the University's strategic priorities related to enrollment growth, student engagement, student success, and service excellence by delivering exceptional customer service and creating meaningful experiences for prospective students and their families throughout the enrollment process.
Primary Responsibilities:
Admissions Recruitment and Counseling Recruit prospective students through high school visits, college fairs, community outreach, virtual programming, and on-campus events. Manage assigned recruitment territories and develop outreach strategies to support application and enrollment goals. Counsel prospective students and families regarding admissions requirements, academic programs, financial aid processes, and enrollment procedures. Maintain ongoing communication with prospective students through phone, email, text messaging, virtual appointments, and in-person meetings. Review admissions applications and support application completion efforts. Utilize Slate CRM and other enrollment technologies to track student engagement, communications, and recruitment activities. Represent the University at recruitment events, open houses, accepted student days, and other enrollment initiatives. Collaborate with academic and administrative departments to support recruitment and enrollment objectives. Tour Guide and Campus Visit Coordination Coordinate the University's campus tour program and visitor experience initiatives. Recruit, hire, train, schedule, and supervise student ambassadors/tour guides. Develop and maintain training materials and customer service standards for student ambassadors. Utilize the Slate CRM system to manage and coordinate the campus visit and tour guide program, including scheduling events, managing visitor registrations, maintaining communication workflows, and overseeing the group tour request portal. Ensure campus tours and visit programs provide a welcoming, inclusive, and informative experience for prospective students and families. Coordinate individual and group campus visits, including special population visits and school/community-based tours. Assist with planning and execution of major admissions events, including Open Houses, Accepted Student Days, and Panther for a Day programs. Monitor campus visit participation and visitor feedback to support continuous improvement initiatives. Student Engagement and Service Provide exceptional customer service to students, families, school counselors, and community partners. Support initiatives designed to strengthen students' sense of belonging and connection to the University. Assist with communication campaigns and outreach efforts designed to support enrollment and persistence goals. Serve as a resource for prospective students navigating the admissions and enrollment process. Administrative and Operational Support Maintain accurate recruitment and visitor data within institutional systems. Prepare reports related to recruitment activities, campus visits, and student engagement initiatives. Assist with admissions operations and special projects as assigned. Participate in evening and weekend programs as required.
Requirements:
Required Qualifications:
Bachelor's degree from an accredited institution. Experience in admissions, recruitment, student services, customer service, event coordination, or related higher education functions. Knowledge of student recruitment, admissions, and marketing strategies. Excellent verbal and written communication skills. Strong organizational, interpersonal and presentation skills. Ability to advise prospective students regarding academic programs and financial aid processes. Frequent travel, including local and regional travel, to schools and recruitment events. Ability to work effectively with diverse student populations and stakeholders. Strong organizational and time management skills. Ability to manage multiple priorities in a fast-paced environment. Proficiency with Microsoft Office and CRM/database systems. Valid driver's license and ability to travel for recruitment activities.
Preferred Qualifications:
Master's degree in higher education, counseling, communications, or related field. Experience working in college admissions or enrollment management. Experience coordinating student staff or ambassador programs. Experience utilizing Slate CRM or similar enrollment management systems. Knowledge of SUNY systems and higher education recruitment practices. Bilingual or multilingual communication skills.
