We are seeking a dedicated House Manager to join our team and help ensure that our homes continue to meet the highest standards of care and service.Position Overview:
The House Manager at Lehigh Valley Companion Care Homes (LVCCH) provides direct leadership and oversight for the day-to-day operations of assigned residential homes serving adults with Intellectual and Developmental Disabilities (IDD). This position ensures the delivery of high-quality, person-centered supports in full compliance with ODP, DHS, and 55 Pa. Code Chapter 6400 regulations. The House Manager supervises Direct Support Professionals (DSPs) and Team Leads, maintains accurate documentation, manages household operations, coordinates care and activities, and fosters a positive, accountable, and compassionate team culture.Key Responsibilities:
1. Resident Care and Support Oversee daily care and supports for residents, ensuring safety, dignity, and well-being. Implement and monitor Individual Support Plans (ISPs) to promote independence and person-centered outcomes. Ensure residents are well-groomed, appropriately dressed, and supported in daily hygiene routines. Coordinate all individual appointments and activities, including medical visits, therapies, and community outings. Be present and participate during Service Coordinator (SC) monitoring visits, following up on all recommendations. Maintain consistent communication with families and guardians to provide updates on health, progress, and service needs. 2. Communication Specialist Responsibilities Complete and maintain ODP Communication Specialist certification. Apply person-centered communication approaches that support residents' unique communication preferences. Model and train staff in adaptive, respectful, and effective communication strategies. 3. Staff Supervision, Mentorship & Development Supervise, mentor, and evaluate DSPs and Team Leads to ensure performance and accountability. Conduct quarterly documented check-ins with DSPs to review performance, documentation quality, and care standards. Participate in DSP interviews and provide hiring feedback to the Program Specialist. Train new hires during onboarding, including orientation on ISPs, documentation, medication protocols, health and safety, and behavior support. Serve as a mentor for DSPs and Team Leads, promoting professionalism and growth. Address and document staff disciplinary issues promptly and fairly in coordination with the Program Specialist and Administrator. Ensure staff complete required trainings, including UKERU, medication observation, and communication training. 4. Documentation Oversight & Quality Review daily staff documentation (shift notes, progress logs, MARs, and incident reports) for accuracy, completeness, and compliance. Provide feedback and retraining to staff who document incorrectly or incompletely. Identify and report incidents noted in documentation immediately to the Program Specialist. Maintain and ensure program books are complete and audit-ready, containing current: Appointment forms and medical follow-ups Activity calendars and attendance logs Individual cash ledgers and receipts Health, behavior, and incident documentation Collaborate with the QA team and Program Specialist to address documentation gaps and quality concerns. 5. Home Operations & Maintenance Oversee daily household operations to ensure homes are clean, organized, and safe at all times. Conduct weekly health and safety inspections, documenting and following up on any deficiencies. Report maintenance issues to the Administrator or Maintenance Department immediately and ensure timely resolution. Maintain adequate supplies (cleaning, medical, food, PPE, and personal care) across all program locations. Manage household inventory and budgets responsibly. 6. Medication & Health Oversight Conduct regular medication administration observations to ensure proper procedure and documentation compliance. Collaborate with nursing staff and the Program Specialist to address medication errors or retraining needs. Verify that QuickMar documentation is complete, accurate, and up to date. Confirm medication counts and MARs are completed according to policy. 7. Scheduling & Staffing Create and distribute staff schedules at least seven (7) days before the start of each new schedule period. Ensure all shifts are covered and coordinate replacement coverage when gaps occur. Review and approve DSP timecards for accuracy and timely payroll submission. Communicate any scheduling changes promptly and clearly to all affected staff. 8. Financial Accountability Manage petty cash, per diem cards, and Cash on Hand (COH) responsibly and in accordance with policy. Maintain and reconcile ledgers weekly, ensuring all receipts are attached and accurate. Safeguard residents' personal funds following ODP and LVCCH financial procedures. Submit COH reconciliations and financial reports to the Program Specialist as scheduled. 9. Communication & Collaboration Serve as the primary point of contact for staff, families, and guardians regarding home operations and individual needs. Communicate effectively with the Program Specialist, Administrator, nursing, and behavioral teams to ensure coordinated care. Foster open communication, teamwork, and mutual respect among staff and interdisciplinary partners. 10. Behavior & Crisis Management Implement Behavior Support Plans (BSPs) in collaboration with the Behavior Specialist. Ensure staff are trained in positive behavior supports and de-escalation strategies. Respond promptly to crises and emergencies, following LVCCH incident management protocols. Document all incidents in EIM (Enterprise Incident Management) and report to the Program Specialist within required timeframes. 11. Quality Assurance & Compliance Ensure continuous compliance with ODP, DHS, and licensing standards. Participate in county, state, and internal audits, maintaining documentation readiness at all times. Assist the QA Director and Program Specialist in implementing Performance-Based Contracting (PBC) standards and corrective actions. Submit monthly home reports by the 10th of each month, summarizing performance, staff issues, resident progress, and follow-up needs. 12. Medication Management Oversee all aspects of medication management, including secure storage, labeling, documentation, and staff training compliance. Ensure Medication Administration Records (MARs) accurately reflect current prescriptions, dosage changes, and PRN usage. Conduct weekly medication audits to verify counts, expiration dates, and refill needs. Ensure medication disposal procedures are followed according to DHS and pharmacy guidelines. Monitor staff med-pass competencies and provide coaching or retraining when errors or deficiencies are observed. Coordinate with licensed nurses and prescribing providers regarding medication adjustments, refills, and follow-up documentation. Maintain medication error logs and submit summaries to the Program Specialist and Nursing Coordinator as required. Confirm all controlled substances are stored, counted, and logged in compliance with regulatory standards. Education & Experience Bachelor's degree in Social Work, Human Services, Psychology, Nursing, or a related field (Master's preferred). Minimum three (3) years of experience supporting individuals with IDD, with at least one (1) year in a supervisory role. Successful completion of ODP Communication Specialist and UKERU training (or completion within six months of hire). Comprehensive understanding of ODP, DHS, and 55 Pa. Code Chapter 6400 regulations and compliance standards.
