Job Description:
ICF is seeking candidates for the role of HR Assistant , an entry‑level position that provides administrative and operational human resources support to external clients. The HR Assistant supports the delivery of timely, accurate, and compliant HR services by performing structured, detail‑oriented tasks across core HR functional areas, including recruitment coordination, onboarding support, personnel processing, and employee data management. Working under the direction of senior HR staff, HR Specialists, or project leads, the HR Assistant contributes to day‑to‑day HR operations that support client workforce needs in dynamic, high‑volume, and deadline‑driven environments. This role is consultative in nature and requires the ability to adapt to varying client requirements, follow client‑specific procedures, and support surge or project‑based workloads while maintaining data accuracy and confidentiality. The HR Assistant supports routine HR transactions and documentation using established policies, standard operating procedures, and checklists; escalates non‑routine issues as appropriate; and assists in maintaining organized, audit‑ready personnel records and tracking tools. The role also involves responding to basic HR‑related inquiries, supporting coordination among stakeholders, and ensuring that required information is complete and properly documented to enable senior HR staff to perform higher‑level review, analysis, and decision‑making.Responsibilities:
Provide administrative support for routine human resources activities, including recruitment logistics, onboarding documentation, personnel file maintenance, and HR data entry. Assist with processing HR transactions such as personnel actions, employee records updates, and tracking required documentation in accordance with established procedures. Support recruitment and hiring activities by scheduling interviews, preparing candidate communication materials, tracking applicant status, and maintaining recruitment records. Maintain accurate and organized HR files and databases, ensuring data integrity, confidentiality, and compliance with applicable policies and requirements. Respond to basic employee and manager inquiries related to HR processes, referring complex questions to senior HR staff as appropriate. Assist in monitoring HR workflows and tracking task status to support timely completion of high‑volume or time‑sensitive requests. Follow established HR policies, standard operating procedures, and documentation requirements; escalate issues or discrepancies when identified. Use discretion when handling sensitive employee information and apply sound judgment within clearly defined guidelines. Support special HR projects and reporting efforts as assigned, contributing to continuous process improvement and operational efficiency.Qualifications:
High school diploma or equivalent required. Additional Qualifications Post‑secondary coursework, associate's degree, or bachelor's degree in human resources, business administration, psychology, or a related field preferred but not required. Experience in an administrative, customer service, operations, or HR support role (including internships, temporary roles, or relevant academic experience). Demonstrated ability to follow standardized procedures, maintain accurate records, and handle sensitive information with discretion. Basic proficiency with Microsoft Office applications and ability to learn HR systems and tools.Preferred Qualifications:
Prior experience supporting HR, staffing, or administrative functions in a professional or organizational setting. Familiarity with basic HR concepts such as recruitment, onboarding, personnel records, or employee lifecycle processes. Demonstrated ability to manage multiple tasks, meet deadlines, and adapt to changing priorities. Interest in building a career in human resources or workforce administration. Pay Range - There are multiple factors that are considered in determining final pay for a position, including, but not limited to, relevant work experience, skills, certifications and competencies that align to the specified role, geographic location, education and certifications as well as contract provisions regarding labor categories that are specific to the position.
