Job Description
The Human Resources Data Support Specialist is responsible for supporting a variety of HR related activities and actions including but not limited to onboarding and recruitment activities such as candidate phone screening, conducting reference calls, report running, and recruitment processing. Additionally, this role will support compliance processing and workforce metrics reporting. This position will ensure data integrity and confidentiality while often using spreadsheets and specialized HR software, will provide support on HR initiatives and projects, support data tracking and reporting. Data Support Perform data entry using word processing, spreadsheets, database commands, and formats material as required. Maintain accurate and timely entry, updates, and audits of employee data within HRIS systems (e.g., ADP, Costpoint, or equivalent). Receives, validates, and updates data in the HR systems/platforms. Identify and correct data discrepancies; escalate systemic issues as appropriate. Upon completion of onboarding, assign EE ID number by sending New Hire Notification, ensuring accuracy before submittal. Review completed onboarding files to verify accurate documentation, ensure correct file location. Creates, maintains, and consistently utilizes standardized work processes. Support record management ensuring proper record retention protocols are followed. Records will include compliance records, personnel records, and talent management records. Respond to standard requests for employee records using approved and established guidelines. Talent Acquisition Support recruitment operations by scheduling interviews, maintaining candidate records, and assisting with applicant tracking system (ATS) updates. Conduct initial candidate phone screenings using standardized criteria, as assigned. Maintain and update candidate pipelines to support talent pooling strategies. Responsible for initiating the onboarding process upon offer acceptance, to include any background investigation or drug screening required. Follow up as needed on background check/drug screening results to ensure timely receipt of results. Conduct reference checks for select candidates as assigned. Other Ensure secure handling of confidential employee information in compliance with company policy and applicable laws. Other duties that align with the position expectations and are assigned at the discretion of management. Education High school diploma or GED required Experience Requires a minimum of two (2) years of data entry support experience. A working knowledge of Adobe Suite, Outlook, Excel, and Microsoft Word is required. A minimum of two (2) years of human resource support is strongly preferred. License, Cert or Registration Valid and unencumbered Drivers License if required to drive for the job Special knowledge, skills, & abilities Microsoft Suite - with a strong focus on Excel (formulas, macros, pivot tables, etc.) Maintains attention to detail with emphasis on accuracy and quality. Possesses strong organizational skills. Exhibits ability to multi-task. Possesses ability to prioritize work, balance multiple projects and deadlines concurrently with effective resolution of conflicting priorities. Maintain complete confidentiality and discretion when handling sensitive data and/or information. Strong foundational understanding of best practices and key HR concepts. Strong organizational, problem solving and interpersonal skills. Demonstrates individual responsibility, self-motivation, and high productivity. Ability to meet deadlines and be self-driven. Strong sense of urgency and able to quickly re-direct. Excellent and clear verbal and written communication skills Expresses clear understanding and demonstrated ability to follow standards.
