DESCRIPTION
The Academic Affairs Business Office (AABO) provides comprehensive financial, human resources, academic personnel, student employment and related administrative services to the units of the Office of the Executive Vice Chancellor for Academic Affairs. These units include the Office of the EVC, Academic Personnel Services, Finance and Administration, Privacy Office, Division of Undergraduate Education, Office for Students with Disabilities, Academic Integrity Office, Summer Session, Teaching + Learning Commons, Graduate Education and Postdoctoral Affairs, and Institutional Research. The AABO also supports the Office of the Vice Chancellor for Organizational Transformation (VC-OT) and its constituent centers and programs including the Cross-Cultural Center, Women's Center, LGBT Resource Center, Black Resource Center, Raza Resource Centro, Intertribal Resource Center, APIMEDA, the PATHS Scholars Program, and Student Retention and Success, which includes the Career Center, Chancellor's Associate Scholars Program, Office of Academic Instruction and Instructional Services, Student Success Coaching, Student Veterans Resource Center, Triton Transfer Hub, Undergraduate Research Hub, and Undocumented Student Services. Applies professional human resources, organization policies and procedures to provide guidance to supervisors and managers to resolve a variety of human resources issues of moderate scope and complexity. Under the general supervision of the HR Manager, serves as the primary HR contact for assigned units and as back-up HR contact for other home departments under the direct purview of the Executive Vice Chancellor (EVC). Advises and assists unit heads, supervisors and employees on all aspects of staff human resources. The precise mix of duties will vary over time, depending on business needs and workload volume, but will include tasks such as: recruitment; classification and compensation; processing personnel and payroll actions; explaining personnel/payroll processes and policies to staff; composing/editing correspondence; employee relations; and collecting, organizing, and disseminating information. This position will be assigned to serve the HR needs of Student Retention and Success unit within the Office of the Vice Chancellor for Organizational Transformation. Overtime may be required. QUALIFICATIONS
Demonstrated experience of human resources generally accepted business practices related to outreach, recruitment, classification, compensation, employee and labor relations. Solid experience with state and federal regulations, as well as procedures and practices, related to human resource administration. Knowledge of a human resources management system (HRMS), and / or other related business software programs and systems. Demonstrated experience and skills with common business software including Microsoft Office applications and Google Workspace tools, email and calendaring software applications. Ability to use data processing software and relational database systems to process a full range of personnel actions (recruitment, timekeeping auditing, merit increases, funding changes, etc.), with a willingness and ability to update and increase skills and knowledge as needed. Analytical skills to conduct analysis and develop recommendations; demonstrates organizational skills and problem-solving skills. Has working knowledge of other areas of HR. Ability to research complex issues; to gather, organize, and analyze data and other information; to evaluate options and consider potential consequences of actions; to produce concise reports based on data queries and other sources; and to make recommendations for solutions based on analyses. Knowledge of organizational policies and procedures and knowledge of functional area. Demonstrated ability to identify and interpret appropriate human resources policies and procedures. Proficient in communicating clearly and effectively verbally and in writing and in integrating information in the completion of assignments. Ability to draft, analyze and summarize documents, reports and written communications for final review and disposition by management. Strong oral communications skills. Ability to explain policies, procedures and other concepts in easily understandable terms. Demonstrated ability to handle difficult or volatile situations / individuals effectively. Demonstrated ability to discuss topics involving personal and/or sensitive issues with tact and confidentiality. Demonstrated ability to effectively interact with faculty, staff, students and other individuals from diverse backgrounds with the ability to use discretion, diplomacy and flexibility, and to show sensitivity, resolve conflict, speak confidently, and defer appropriately when an issue needs to be referred. Demonstrated ability to exercise initiative and independent judgment in executing a wide variety of HR functions and maintain reliability in handling confidential and sensitive matters. Strong demonstrated organizational skills and ability to independently prioritize work to meet deadlines and constantly changing priorities. Demonstrated ability to function effectively in a high-volume environment with frequent interruptions. Strict attention to detail and accuracy with the ability to complete assigned work in a timely manner.
PREFERRED
Demonstrated experience working in an academic (or equivalently complex) environment, with a proven understanding of its issues, processes, and procedures. Knowledge of UC San Diego online business systems (UCPath, Ecotime, etc.) and ability to extract reports, transactions, and other data, or knowledge of comparably complex automated business systems.
SPECIAL CONDITIONS
Job offer is contingent upon satisfactory clearance based on Background Check results. Duties may require direct contact and/or supervision of children (defined as individuals under the age of 18); completion of the Child Abuse and Neglect Reporting Act (CANRA) form will be required.
Pay Transparency Act Annual Full Pay Range:
$65,800 - $115,000 (will be prorated if the appointment percentage is less than 100%)
Hourly Equivalent:
$31.51 - $55.08 Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
