Muskegon, MI Position Summary The HR / Office Administrator is responsible for supporting the day-to-day administrative, accounting, and human resources functions of the company. This role serves as a key support position within the office and helps ensure smooth business operations through timely and accurate invoicing, accounts receivable management, payroll support, employee onboarding, safety documentation management, and general office coordination. The ideal candidate is highly organized, detail-oriented, dependable, and capable of managing multiple priorities in a fast-paced manufacturing environment. Key Responsibilities Accounting & Administrative Support- Generate and distribute customer invoices accurately and timely.
- Monitor accounts receivable aging and follow up on overdue customer balances.
- Process cash receipts, check deposits, and payment tracking.
- Assist with month-end and year-end reporting activities.
- Support preparation of operational and financial reports.
- Coordinate office supply purchasing and inventory. Human Resources Responsibilities
- Assist with recruiting activities including job postings and interview scheduling.
- Coordinate employee onboarding and new hire paperwork.
- Maintain employee personnel files and HR documentation.
- Assist with benefits administration and employee communications.
- Coordinate employee training and development records.
- Collect, review, and enter employee timecards and support payroll. Safety & Compliance
- Maintain safety training records and compliance documentation.
- Assist with OSHA and workplace safety reporting requirements.
- Coordinate onboarding safety documentation for new employees.
- Track certifications, training expirations, and required compliance records.
- Support internal audits and compliance initiatives.
- Help maintain company policies, procedures, and required postings. Additional Duties
- Assist with customer service inquiries and communication.
- Support company events, meetings, and employee engagement activities.
- Perform additional administrative and operational support duties as assigned. Qualifications
- Associate degree or equivalent experience preferred.
- 2+ years of office administration, HR, accounting, or related experience preferred.
- Experience in manufacturing or industrial environments is a plus.
- Proficiency with Microsoft Office (Excel, Word, Outlook) and Quickbooks
- Experience with payroll, ERP, or accounting software preferred.
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- Ability to handle confidential information professionally and discreetly.
