Job Description

POSITION SUMMARY
(Primary Function): The Director of Administrative Services serves as the central administrative leader for the organization, responsible for ensuring efficient day-to-day operations and supporting the Chief Executive Officer in advancing organizational priorities. This role oversees administrative systems, human resources and volunteer coordination, financial and compliance processes, and provides support for fundraising and community engagement efforts. The position is designed to streamline operations, enhance organizational effectiveness, and support both internal functions and external relationships that drive mission impact.
QUALIFICATIONS REQUIRED
Knowledge:
  • Advanced knowledge of office administration, organizational operations, and workflow management
  • Working knowledge of human resources practices, payroll, and compliance requirements
  • Understanding of financial processes including accounts payable, budgeting support, and recordkeeping
  • Knowledge of nonprofit operations and board governance required
  • Basic knowledge of fundraising, donor relations, and community engagement practices
Education:
  • Associate or Bachelor's degree in Business Administration, Human Resources, Nonprofit Management, or related field preferred
  • Equivalent combination of education and experience accepted
Experience:
  • 3-5+ years of progressively responsible experience in administrative leadership, office management, or executive support
  • Experience supporting senior leadership and/or board operations
  • Experience in HR administration, volunteer coordination, or fundraising support preferred
Skills:
  • Strong organizational, planning, and time management skills
  • Excellent written and verbal communication
  • High level of discretion and confidentiality
  • Strong relationship-building and customer service skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Financial and data tracking proficiency
  • Advanced proficiency in Microsoft Office and administrative systems
KEY ROLES AND COMPETENCY AREAS 1.
Executive & Organizational Support (30%)
  • Essential
  • Manage CEO calendar, scheduling, correspondence, and priorities
  • Prepare reports, presentations, and meeting materials
  • Coordinate Board of Directors meetings including agendas and minutes
  • Serve as liaison between CEO, Board, staff, and stakeholders 2. Administrative Operations & Compliance (35%)
  • Essential
  • Oversee daily administrative operations and office systems
  • Maintain organizational records and filing systems
  • Manage supplies, equipment, and vendor relationships
  • Support payroll, accounts payable, and financial documentation
  • Ensure compliance with policies, grants, and regulations 3. Human Resources & Volunteer Administration (20%)
  • Essential
  • Coordinate recruitment, onboarding, and personnel documentation
  • Maintain employee records and HR compliance
  • Support payroll coordination and attendance tracking
  • Manage volunteer recruitment, onboarding, and scheduling
  • Maintain volunteer records and compliance documentation 4. Development & External Relations Support (15%)

  • Support donor engagement and fundraising activities
  • Maintain donor database and acknowledgments
  • Assist with events, outreach, and community engagement
  • Support grant documentation and reporting
ADDITIONAL ACCOUNTABILITIES
Supervisory Responsibility:
This position does not have direct supervisory responsibilities.
Budget Responsibility:
Assist in monitoring administrative and operational budgets and track expenses related to office operations and fundraising activities.
Assets Responsibility:
Maintain accountability for office equipment, supplies, administrative systems, and organizational records.
RELATIONSHIPS
Internal:
Chief Executive Officer, leadership team, and staff across departments.
External:
Board members, donors, volunteers, vendors, community partners, and the general public.
ENVIRONMENTAL AND WORKING CONDITIONS / PHYSICAL REQUIREMENTS
Primarily office-based work environment with frequent sitting, computer use, and communication. Occasional lifting of office materials up to 25 pounds may be required.
