The Closing Coordinator requires specific experience with real estate transactions in the City of Chicago , including knowledge of municipal transfer stamps, zoning and water certification processes , and familiarity with local title and closing procedures.Essential Duties and Responsibilities:
Order and obtain necessary clearance documents, including but not limited to: Payoff letters Surveys HOA declarations and assessments City of Chicago Water and Zoning Certificates City of Chicago Municipal Transfer Stamps and Exemptions Review all obtained clearance for accuracy and insurability; consult with underwriting where required. Collaborate with title companies, attorneys, agents, municipalities, and other stakeholders to obtain all required title clearance documentation. Communicate status of clearance requirements with all parties via email and phone. Perform daily follow-up to ensure all clearance items are addressed within transaction timelines. Regularly review and update title production systems and manage task lists. Provide support to team members during high-volume periods or as needed. Any other duties as assigned.Qualifications and Position Requirements:
Experience with Illinois and City of Chicago real estate transactions strongly preferred Familiarity with Chicago-specific municipal processes (e.g., water/zoning certificates, transfer stamps) Strong communication and customer service skills Exceptional attention to detail and organizational skills Ability to prioritize and manage multiple deadlines in a high-volume environment Strong analytical and problem-solving skills Proficient in Microsoft Office Suite and title production systems (Soft-Pro preferred) Working knowledge of title insurance and real estate conveyancing procedures Ability to work both independently and collaborativelyEducation and Experience Requirements:
